How to create and manage custom leave types in Simployer One


Create a custom leave type when the default leave types do not cover your company's time off reporting needs. 


Simployer One includes default leave types for Self certified sick leave, Care of sick child, Off duty, Parental leave, Vacation, and Sick leave. Create a custom leave type when employees need to report another type of absence. 


Who can create and manage custom leave types in Simployer One? 


Only an Owner or Administrator can create, edit, or archive a custom leave type in Simployer One. 


How do I create a custom leave type in Simployer One? 


  1. In the main menu, click Settings. 
  2. Click Time off settings. 
  3. In the upper-right corner of the leave type overview, click New leave type. 
  4. Complete the custom leave type settings. 
  5. Click Save. 


Complete these settings before you save the custom leave type: 


  • Name: Enter the internal name for the custom leave type. This name is visible to people who can access Time off settings. Employees see the policy name that you add later. 
  • Minimum time to request: Choose Full days, Hours, or Minutes. 
  • Leave type code: Enter the matching time off reason code from another system when an integration exports or synchronizes time off. 
  • Allow child selection: Enable this setting when the employee should be able to select which child the absence concerns. 


Important

Saving a custom leave type does not make it available to employees. You must also create and save at least one policy with a scope. 


How do I choose the minimum time to request for a custom leave type? 


The Minimum time to request setting controls the smallest unit an employee can request for the custom leave type. 


  • Full days: Employees can request whole days only 
  • Hours: Employees can request time in hours. Use this option when employees must be able to request a half day 
  • Minutes: Employees can request time below one hour, such as 30 minutes 


When should I add a leave type code to a custom leave type? 


Add a Leave type code when Simployer One sends time off data to another system through an integration. The code in Simployer One must match the code for the corresponding time off reason in the receiving system. 


Note

A leave type code is only needed when an integration uses the code to map the custom leave type to another system. 


What happens after I save a custom leave type? 


After you click Save, Simployer One opens the overview for the custom leave type. Create one or more policies from this overview. 


Create separate policies when different groups of employees need different rules for the same custom leave type. Each policy can have its own settings, approval flow, allowance, and scope. 


How do I edit or archive an existing custom leave type? 


  1. Go to Settings > Time off settings. 
  2. Open the custom leave type you want to manage. 
  3. Edit the available fields or archive the custom leave type. 
  4. Click Save when you edit the leave type. 


For an existing custom leave type, an Owner or Administrator can edit: 

  • Name 
  • Leave type code 


The other custom leave type settings are locked after the leave type has been created. 


Important

You cannot permanently delete a custom leave type. An Owner or Administrator can archive it instead.
