Who can sync employees from Simployer One to Employee Surveys?

Only an Owner in Simployer One can sync employees from Simployer One to Employee Surveys.


What do I need before I can sync employees to Employee Surveys?

Before you can sync employees from Simployer One to Employee Surveys:

  • The Employee Surveys integration must be activated in Simployer One.
  • You must be an Owner in Simployer One.

Where do I sync employees from Simployer One to Employee Surveys?

To open the export page for Employee Surveys, go to:

Performance > Surveys > then select the Export tab.


How do I choose which employees are included in the Employee Surveys sync?

Use the Employee Surveys sync scope to decide which employees Simployer One exports.

  1. Go to Performance > Surveys > then select the Export tab.
  2. Click Edit scope.
  3. Choose Everyone at the company to include all employees, or choose Select specific groups or people to limit the export scope.
  4. Use Excluded from the scope to exclude people who should permanently not be included in Employee Surveys. For temporary exclusions, such as an employee who is on leave, deactivate the user from the employee’s profile in Employee Surveys instead.
  5. Click Save.


Note: Only active employees are included in the Employee Surveys sync. Active employees are people listed under the Employees tab in Simployer One whose employment end date has not passed. People listed under Candidates, New hires, or Archived are not included. Employees under the Employees tab are also excluded if their employment end date has already passed.


How do I manually sync employees from Simployer One to Employee Surveys?

Use a manual sync when you have changed employees or organizations in Simployer One and want to export the current data to Employee Surveys.

  1. Go to Performance > Surveys > then select the Export tab.
  2. Click Synchronize.
  3. Check the result message on the screen. If the sync is successful, Simployer One shows Employees have been exported.
  4. If Simployer One shows an error message, correct the employee or organization information in Simployer One and run the sync again.


Tip: Run a manual Employee Surveys sync every time you make a change related to employees or organizations in Simployer One.


How do I schedule employee syncs from Simployer One to Employee Surveys?

Use a scheduled sync when you want Simployer One to export employees to Employee Surveys automatically.

  1. Go to Performance > Surveys > then select the Export tab.
  2. Click Schedule.
  3. Add the day or days when the Employee Surveys sync should run.
  4. Click Save.

Queued execution: When scheduled sync is enabled, the sync is queued and executed shortly after 06:00 CET on the selected sync day or days.


How do I set up notifications for scheduled Employee Surveys syncs?

Use Employee Surveys sync notifications to alert the right people if issues occur with a scheduled sync.

  1. Go to Settings > Integrations > scroll down to &frankly section > Set notifications.
  2. Choose whether to notify all Owners or add specific email addresses.
  3. Choose the notification trigger.
  4. Click Save.


Which employees are exported from Simployer One to Employee Surveys?

Simployer One exports active employees who are included in the Employee Surveys sync scope.

  • Employees listed under the Employees tab are exported when their employment end date has not passed.
  • People listed under Candidates, New hires, or Archived are not exported.
  • Employees under the Employees tab are not exported if their employment end date has already passed.


Important: Work email is mandatory for the sync unless you activate the toggle Use private email as fallback when work email is missing.

Employee Surveys reports are available for groups and teams that have been offered a pulse and meet the anonymity requirements set for the account. When Simployer One exports employees, it also exports the groups and entities those employees belong to.

Which custom attributes can be exported from Simployer One to Employee Surveys?

Simployer One automatically adds the System role attribute to Employee Surveys. The System role attribute can contain these values:

  • Administrators & Managers
  • Administrators
  • Managers
  • Users

Simployer One can also export selected custom attributes to Employee Surveys when those attributes are connected to exported users.

How do I prepare attributes in Employee Surveys before syncing from Simployer One?

Before Simployer One can export attributes to Employee Surveys, you must add the attributes you want to sync in Employee Surveys. You only need to add the attributes you want to export from Simployer One.

1. In Employee Surveys, go to Account > then select the User management tab.

2. For Country, City, Birthdate, and Employment date, click the + icon for the attribute you want to add.

3. For Gender, click Add an attribute.

4. Add these values for the Gender attribute:

  • Attribute: Gender
  • Name in results: Gender
  • Mandatory: Turn this toggle on if Gender must be filled in for every employee. When Gender is mandatory, the sync fails if any employee included in the sync does not have a gender selected in their Simployer One profile. Leave the toggle off if Gender can be empty.
  • Type: Text
  • Allowed values: Male, Female, Non-binary, Not-specified

5. Click Add attribute.

6. In Simployer One, go to Performance > Surveys > Export tab and turn on the toggle for each attribute you want to include in the Employee Surveys sync.

7. Sync data from Simployer One to Employee Surveys after the attributes have been added in Employee Surveys and the corresponding attribute toggles have been turned on in Simployer One.


What do Employee Surveys sync error messages mean?

If the Employee Surveys sync fails, use the error message to identify which data needs to be corrected before you run the sync again.

Create an employee report and include Work Phone as one of the fields. Use the report to find and correct the duplicate phone number, then run the sync again.

One employee in the company has a work email that already exists on a user in Employee Surveys.

Check the employee work email in Simployer One and correct it if needed. If the email belongs to an existing Employee Surveys user, resolve the duplicate before running the sync again.

apiTokenValidation

The API token from Employee Surveys that was entered when activating the integration is not currently valid.

Enter a currently valid API token from Employee Surveys, then run the sync again.

validateExternalProperties

Employee Surveys expects external properties to be sent, or Simployer One is sending external properties that are not activated in Employee Surveys.

Check that the attributes activated in Simployer One match the external properties activated in Employee Surveys. For example, if Simployer One sends Gender with the value Not-specified, the Gender attribute and the Not-specified option must also be configured in Employee Surveys.


Tip: After you correct the data or integration setup, run the Employee Surveys sync again from Performance > Surveys > Export tab.


If the fix fails: Contact support and include the exact error message shown in Simployer One.
