What can each Employee surveys role do?
Employee surveys has three main roles: User, Manager, and Administrator. Each Employee surveys role controls what the person can do in surveys, scheduling, results, and account settings.

Manager | Managers can be given group ownership. Managers can send surveys for the groups they own and view results for surveys they schedule. Managers can view Employee surveys results for surveys scheduled by Administrators only if Group owners are given access in the result visibility settings when the pulse is scheduled. A Manager can be assigned as the owner of one or more groups if the ownership is not already set by the integration. |
Administrator | Administrators have full access to Employee surveys, including account settings. Administrators do not need to be group owners because they have access to all Employee surveys results by default. |
Note: Result visibility for Users and Managers is controlled by the result visibility settings when the survey is scheduled. In the result visibility settings, Users are called Group members, and Managers with group ownership are called Group owners. A User or Manager does not automatically get access to Employee surveys results just because they participated in a survey.
Which Employee surveys roles come from Simployer One?
When Simployer One is integrated with Employee surveys, some roles and group ownerships are assigned automatically during sync. These synced permissions are controlled by the person's role, department responsibility, or team responsibility in Simployer One.
- Owners in Simployer One: Someone with an Owner role in Simployer One automatically gets the Administrator role in Employee surveys
- Managers in Simployer One: Someone with a Manager role in Simployer One automatically gets the Manager role in Employee surveys
- Department leads in Simployer One: A Manager who is department lead for a department in Simployer One automatically becomes group owner of that group in Employee surveys
- Team leads in Simployer One: A Team lead for a Team (cross-functional team) in Simployer One automatically becomes group owner of that group in Employee surveys
- All other employees: All other synced employees get the User role in Employee surveys and can participate in surveys
Important: Synced roles from Simployer One are restored on the next sync when you manually lower the role in Employee surveys. For example, you cannot permanently change a Simployer One Owner to Manager or User in Employee surveys. You also cannot permanently change a Simployer One Manager to User in Employee surveys. You can manually set a synced user to a higher role in Employee surveys, and the integration does not overwrite that higher role.
How do I see a user role in Employee surveys?
You can check a person's current Employee surveys role from the People area in Employee surveys.
1. Go to Employee surveys > People.
2. Open the Users tab.
3. Check the Role column to see the user's Employee surveys role.
4. Use the Role column filter if you want to find users with a specific Employee surveys role.
5. Open the user profile if you need to review or edit the role manually.
Important: If you change Role, Owner of, or Read rights to in Employee surveys, save the changes before you leave the user profile.
How do I add an Employee surveys administrator?
You can add more Employee surveys administrators directly in Employee surveys when they should have full access to Employee surveys and account settings.
1. Go to Employee surveys > People.
2. Open the Users tab.
3. Open the user profile for the person who should become an Employee surveys administrator.
4. Change the role to Administrator.
5. Save the change.
Important: Only give the Administrator role to people who should have full access to Employee surveys, including all results and account settings.
How do I give a Manager group ownership in Employee surveys?
Managers in Employee surveys can be given group ownership. Managers can send surveys for the groups they own and view results for surveys they schedule. Managers can view Employee surveys results for surveys scheduled by Administrators only if Group owners are given access in the result visibility settings when the pulse is scheduled. A Manager can be assigned as the owner of one or more groups if the ownership is not already set by the integration.
Note: A person must have the Manager or Administrator role in Employee surveys before they can be added as a group owner.
You can manage group ownership in Employee surveys from either the Users tab or the Groups tab.
- From the Users tab: Go to Employee surveys > People, open the Users tab, open the user profile, select the relevant group checkboxes under Owner of, and save the changes
- From the Groups tab: Go to Employee surveys > People, open the Groups tab, open the group, add the Manager as owner, and save the changes
Note: You can add more group ownerships to a Manager than the Manager receives from Simployer One. If the Manager is already a department lead or Team lead for a Team in Simployer One, that group ownership is added automatically through the integration.
How do viewing rights work in Employee surveys?
Viewing rights in Employee surveys lets a user view results for a specific group without making the user a group owner. Viewing rights do not let the user schedule pulse surveys for that group.
Use viewing rights when: A person needs access to Employee surveys results for a group, but should not be able to schedule pulse surveys for that group.
You can grant viewing rights in Employee surveys from either the user profile or the Groups tab.
- From the user profile: Go to Employee surveys > People, open the Users tab, open the employee profile, select the relevant group checkboxes under Read rights to, and save the changes.
- From the Groups tab: Go to Employee surveys > People, open the Groups tab, open the group, search for the user in the Viewing rights column, and save the changes.
What happens if I manually change a synced role in Employee surveys?
You can manually make a user a Manager in Employee surveys and give that Manager group ownership. You can also manually add more group ownerships to Managers. You can manually make a User or Manager an Employee surveys Administrator.
Important: Save the changes after you manually change an Employee surveys role or add group ownership. Unsaved changes are not applied.
You cannot permanently remove a higher role that comes from Simployer One. The next sync from Simployer One restores the synced Employee surveys role when the manual change lowers the role. You can manually set a synced user to a higher role in Employee surveys, and the integration does not overwrite that higher role.
- Owner in Simployer One: If you change the person from Administrator to Manager or User in Employee surveys, the next sync changes the person back to Administrator
- Manager in Simployer One: If you change the person from Manager to User in Employee surveys, the next sync changes the person back to Manager
FAQs
Can a User in Employee surveys see results?
A User in Employee surveys can participate in surveys and view their own answers.
A User can only see Employee surveys results for groups if Group members are given access in the result visibility settings when the survey is scheduled. If Group members are not given access, the User can participate in the survey but cannot view group results.
Result visibility settings can also affect what results Managers can see. In the result visibility settings, Managers with group ownership are called Group owners.
Do Employee surveys Administrators need group ownership?
No. Employee surveys Administrators do not need group ownership because they have full access to all Employee surveys results by default.
Can I remove a role that comes from Simployer One?
No. You cannot permanently lower a role that comes from Simployer One. The next sync from Simployer One restores the role based on the person's Simployer One access. You can manually set a synced user to a higher role in Employee surveys, and the integration does not overwrite that higher role.
