What are Absence alerts and how do I use them?


What are Absence alerts? 

Absence alerts help you identify employees who may be at risk of long-term sick leave. Simployer One automatically detects repeated short-term sick leave patterns so you can follow up before a longer absence develops.
 
Research shows that many long-term sick leaves are preceded by repeated short-term absences. Simployer One defines repeated short-term absence as more than three sick leave periods within a rolling 12-month period.


Who can view Absence alerts? 

- Managers can view alerts for employees who report to them.
- Admins and Owners can view alerts for all employees.


How do I view Absence alerts?

  1. Go to **Employees**.
  2. Click **Absence alerts** in the upper-right corner. The number in parentheses shows the number of active alerts. 
  3. The **Absence alerts** page displays the employee name, sick leave occurrences and calendar days during the last 6 months, and sick leave occurrences and calendar days during the last 12 months.


How are Absence alerts calculated? 

Sick leave registrations of 14 calendar days or less are included in the calculation.
Consecutive sick leave registrations are counted as one sick leave occurrence.

For example, a one-day sick leave followed immediately by another one-day sick leave is shown as 1 sick leave (2 days).
The number in parentheses always shows calendar days, not working days. 


How do I mark an Absence alert as resolved?

Only Admins and Owners can resolve an Absence alert. 

  1. Go to **Employees**. 
  2. Click **Absence alerts**. 
  3. Find the employee. 
  4. Click **Resolve**. 
  5. In the **Mark alert as resolved** window, click **I understand, mark as resolved**. 
  6. Click **Cancel** if you do not want to resolve the alert. 


Important: Resolving an alert resets the alert counters. A new alert is created only if future sick leave registrations meet the alert criteria again. 


What should I know when editing sick leave?

Note: Editing, removing, or re-adding sick leave registrations may temporarily create false-positive Absence alerts. If you make many changes to sick leave registrations, review the Absence alerts list afterwards.
