How to create a workflow template

How do I create a new workflow template?

  1. In the left-hand menu, go to Automations, then select Workflows.
  2. On the Workflows page, click Manage templates.
  3. Click Create template.
  4. In the New template window, enter a name for the template in the Name field. This field is required.
  5. Optionally, enter a description in the Description field.
  6. Optionally, select a category from Select template category.
  7. Click Continue.


How do I set up a trigger for a workflow template?

A trigger determines whether a workflow template starts automatically when an event occurs, or only when someone starts it manually.

  1. Turn on Use automatic trigger if you want the workflow to start automatically. Leave it turned off if you want to start the workflow manually whenever you're ready.
  2. If you turned on the trigger, select an event from Select trigger event. This field is required. Available trigger events are:
  3. Sick leave reported
  4. Employee title changed
  5. Position changed to manager role
  6. First employment start date
  7. Employee end date
  8. Under When to trigger the workflow, specify how many consecutive days, weeks, or months must pass after the trigger event before the workflow starts.


Note: If you select Sick leave reported as the trigger event and don't specify any settings, the workflow is triggered after 1 day of sickness, for everyone at the company.


Important: Workflows using the Sick leave reported trigger event are only triggered by registered sick leave, not by egenmelding (self-certified sick leave) used in Norway. Employees in Norway must register the correct leave type in Time Off in Simployer One when transitioning from egenmelding to registered sick leave, otherwise the workflow will not be triggered automatically.

  1. Optionally, click + Edit scope under Add scope for whom the trigger should apply to to limit the trigger to specific employees.
  2. Click Continue.


How do I add tasks to a workflow template?

You can add more tasks and categories to a template while editing it.

  1. At the bottom of the template's task list, click Add task to add a new task, or Add category to add a new category.

Hover over the info icons next to each field in the task or category form for guidance on what to enter.


Who can create and manage workflow templates?

You need the Owner or Admin role in Simployer One to access Automations > Workflows > Manage templates, and to create, edit, or duplicate workflow templates.

What happens if I don't set up a trigger for my template?

The template has no automatic trigger. You can still start a workflow from the template manually, whenever you're ready.


Which trigger events can I choose from when creating a workflow template?

You can choose from: Sick leave reported, Employee title changed, Position changed to manager role, First employment start date, or Employee end date.
