How do I set up public holiday calendars and company holidays in Simployer One? 


This article explains how Owners and Administrators configure public holiday calendars, company holidays, restricted dates and remote work registration in Time off settings. 


Who can manage Time off settings? 


Only Owners and Administrators can configure Time off settings, including public holiday calendars, company holidays, restricted dates and remote work registration. 


How do I select a public holiday calendar? 


  1. Navigate to Settings → Time off settings. 
  2. Locate the Public holidays section. 
  3. Open the country drop-down and select the country. 
  4. Click the eye icon (View) to review the included holidays if needed.


Important

Public holidays are not deducted from an employee's vacation balance. If approved vacation overlaps with a public holiday in the assigned calendar, only the actual vacation days are deducted. 


How do I create and edit a custom public holiday calendar? 


Create a custom calendar if your organisation does not follow the built-in country calendar or needs additional regional or company-specific holidays. 


  1. Go to Settings → Time off settings. 
  2. Under Custom public holiday calendars, click Add new. 
  3. Enter a calendar name. 
  4. Add each holiday by entering its date and name, then click Add. 
  5. Repeat for all holidays and click Close. 


To edit a custom calendar, click the pencil icon. You can rename the calendar, edit holidays, add new holidays or delete existing ones. 


Important

A custom public holiday calendar does not automatically repeat holidays every year. You must add each holiday for each calendar year individually. 


This is by design because many public holidays change date from year to year, such as Easter and other movable holidays. Simployer One cannot assume that a holiday occurs on the same date every year in a custom calendar. 


Review and update your custom public holiday calendar before the start of each new year to ensure employees receive the correct public holidays and vacation calculations. 


Note

Built-in country public holiday calendars are maintained automatically. Only custom public holiday calendars require you to add and maintain the holidays yourself. 


How do I assign public holiday calendars to offices? 


  1. Navigate to Company → Offices. 
  2. Expand the office and click Edit office. 
  3. Select the office Country. 
  4. Under Public holidays, choose Inherit from country or select another calendar. 
  5. Click Save. 
  6. Assign employees to the correct office. 


Note

An individual employee can use a different public holiday calendar than their office if required. 



How do I assign a public holiday calendar to an employee? 


Use this option when one employee should follow a different public holiday calendar than the rest of their office. You do not need to create a separate office just for one employee. 


  1. Navigate to Employees. 
  2. Open the employee's profile. 
  3. Scroll down to Employment.


How do I add company holidays? 


Company holidays are organisation-wide closure days. Employees do not use their own vacation allowance for these dates. 


  1. Go to Settings → Time off settings. 
  2. Locate Company holidays. 
  3. Click Add new. 
  4. Enter the holiday name and date. 
  5. Save.


How do I add restricted dates? 


Go to Settings → Time off settings. 

Locate Restricted dates. 

Click Add new. 

Enter the name and date or period. 

Save. 


Note

Employees can still request time off during restricted dates, but they receive a warning before submitting the request. 


How do I enable remote work registration? 


Enable the Remote work registration toggle in Settings → Time off settings. Once enabled, employees can register remote work according to your organisation's configuration and permissions. 


FAQs 


Can different employees use different public holiday calendars? 

Yes. By default, employees inherit the public holiday calendar assigned to their office (Office and company default). If an individual employee should follow a different calendar, you can override the office setting by selecting a specific public holiday calendar in the employee's Employment section. 


Will public holidays reduce an employee’s vacation balance? 

No. Public holidays included in the assigned calendar are excluded automatically from vacation deductions.
