What graded leave means
Graded leave lets an employee register a partial absence instead of a full day off. Rather than marking a day as fully absent, the employee specifies a leave percentage that reflects how much of their normal workload they're away from.
- 100% indicates a full absence
- 50% indicates a half-day or partial workload
- Decimals (for example, 37.5%) are supported for precision
Graded leave is available for Sick Leave and Parental Leave. It must be enabled on the relevant leave policy before employees can use it — see "Enabling graded leave for a leave policy" below.
How employees register a graded leave request
- Go to the Time Off module.
- Select Sick Leave or Parental Leave.
- Choose the leave dates.
- Enter a leave percentage between 1 and 100.
- Add any other required information, such as attachments or notes.
- Submit the request for approval.
Once submitted, Simployer One:
- Automatically calculates the reduced number of working hours based on the percentage entered
- Registers the leave as a graded absence
The request then goes to the employee's manager or approver for review.
Note: If you don't see a percentage option when submitting a Sick Leave or Parental Leave request, grading hasn't been enabled on that policy. Contact your HR administrator.
How managers review graded leave requests
When an employee submits a graded leave request, the percentage value is clearly shown to the manager or approver alongside the rest of the request details.
Before approving or rejecting the request, approvers can review:
- The leave type
- The leave duration
- The grading percentage
- Any attachments submitted with the request
Enabling graded leave for a leave policy
To activate graded leave for your organization:
- Navigate to Settings → Time Off Settings.
- Select the relevant leave type and policy (for example, Sick Leave or Parental Leave).
- Enable the option Allow grading.
- Save the policy.
Once saved, employees assigned to this policy can register leave requests using a percentage (for example, 50% or 37.5%) instead of only full-day absences.
Graded leave in reports and payroll integrations
Graded leave values are fully reflected across Simployer One's reporting and integrations:
- Absence reports include the grading percentage for each graded leave entry.
- Payroll integrations receive the adjusted working hours along with the grade percentage.
- HR statistics and insights reflect partial absence usage based on the percentage recorded, rather than treating graded leave as a full-day absence.
This ensures partial absences are represented accurately wherever leave data is used downstream, without manual adjustment.
