Onboarding guide: Moving from Employee Review to Reviews & Check-ins

Modified on Wed, 14 Oct at 2:18 PM

What is changing?

Reviews & Check-ins is the new tool for employee reviews and ongoing conversations in Simployer One, replacing the previous Employee Review tool. The two tools are built differently, so features do not transfer one-to-one — some things work differently, and some are set up in a new way. This guide helps you plan the transition.

When is the best time to switch?

Switch between review rounds, not during one. Let any ongoing review cycles in the previous tool run to completion before you start your first review round in Reviews & Check-ins. This keeps results complete in one place and avoids confusion for managers and employees.

Do my templates transfer automatically?

No. Templates from the previous tool need to be rebuilt in Reviews & Check-ins. To make this easier:

  • Keep the previous tool available while you rebuild, so you can open your old templates as a reference. Once your new templates are in place, we recommend switching off the previous tool — having two similar menu items makes it hard for employees to know where to go.
  • Start from the ready-to-use Simployer templates (Performance review, 1:1 Check-in, Career development, and more) and adjust, or create a company template from scratch.
  • Discussion points in Reviews & Check-ins are by default shared — shown to and answered by both manager and employee. Use the Who responds setting to direct a point to only the employee or only the manager, so one-sided questions from your old templates can be carried over as they are. Points meant for both work best phrased as neutral discussion points (for example, "What goals have you achieved?" becomes "Goals achieved since our last discussion").

Can we still access completed reviews from the previous tool?

Yes. Historical reviews are not migrated into Reviews & Check-ins, but managers and employees can ask Sia about them — either by chatting with Sia directly or by using the Sia briefing button when preparing for a conversation. Sia can bring up relevant answers and notes from previous reviews, so history stays useful in the new conversations.

What works differently?

In Employee ReviewIn Reviews & Check-ins
Questions are mandatoryNo mandatory points — participants can skip a discussion point they have no input on
Answers become visible once submitted — whoever submits first reveals theirs to the otherInput becomes visible only once the participants asked to respond have shared theirs, so everyone reflects independently
Review cycles have a fixed scope — org changes mean creating new cyclesFlexible during org changes — extend or modify the scope of a round at any time to include more people
Cycles recur automatically (cadence)Rounds are created per period; create a new round for each cycle

Recommended transition steps

  1. Finish ongoing review cycles in the previous tool.
  2. Review your existing templates and decide which to keep.
  3. Rebuild those templates in Reviews & Check-ins, with the previous tool still open as reference.
  4. Switch off the previous tool so employees have one clear place to go.
  5. Set up your first review round, ideally starting with a smaller group or one team.
  6. Roll out to the whole organization and inform managers.
