If you need to create a completely new user, you also do this from the "Users" tab. There are two types of users: individual users and multi-users. An individual user should only be used by one person so that the person can be identified. All users who need specific roles in the system must be registered as individual users.
A multi-user is a user that can be shared by multiple people. Since this is a user not tied to a person but to a group, it will not be possible to grant any rights other than registration.
To create a new user:
- Go to the "Users" tab.
- Select "New user" in the left menu.
- Register the user’s information.
- Consider the user’s settings (see settings for users).
- Click "Save.
User Settings
When creating a new user or importing an existing one, you must address the user's settings:
Email notifications: If the user does not want to receive standard email notifications, except for the notification about a case exceeding the deadline (which cannot be opted out of), you can uncheck this box. You can read more about notifications in the "Case Handling" section.
Administrator for the system: An administrator will have all rights. To manage users and units, one must be an administrator. Administrators have access to report from all organizational units in the system. They can save, modify, and delete existing report templates and create new report templates.
Superior Case Handler: A superior case handler has access to all cases but will not be assigned any cases unless they are registered as a case handler for specific units. They can also generate reports for all units. A superior case handler is the last instance for notifications when cases exceed deadlines.
Case Handler for the whole organization: Users with this role will always be available to be assigned as case handlers. Typical use: Janitor.
Access to all cases and all reports: This role allows access to all cases in the company and the ability to generate reports across the entire organization. Typical use: Chief Safety Representative.
Inactive: This can be used when a user will be absent for an extended period, but you do not wish to remove the user from the system or change their roles. A case handler marked as inactive can still log in but will not be assigned any cases. Cases will be assigned to other case handlers in the same unit or to the main responsible person for the unit if no other case handlers are available.
