Create Custom Allowances

If your organisation has its own allowance rates that should be available in Travel & Expenses, you can create Custom Allowances.

Creating a Custom Allowance consists of three steps that must be completed in the correct order.


Before you begin

A Custom Allowance is built using three components:

  1. Additional Group – Links the allowance to a Payroll Type.
  2. Additional Type – Defines the allowance that employees can select.
  3. Use of additions – Determines who can use the allowance and which rate should be applied.

Navigate to:

Administration → Travel & Expenses


Step 1 – Create an Additional Group

Select Additional Groups and click +.

Enter:

  • A name for the Additional Group.
  • The Payroll Type the group should be linked to.

Save the changes.

Tip: An Additional Group connects the allowance to your payroll system.


Step 2 – Create an Additional Type

Select Additional Types and click +.

Enter:

  • A name for the Additional Type.
  • Select the Additional Group it belongs to.

Save the changes.

An Additional Group can contain one or more Additional Types.


Step 3 – Configure Use of Additions

Select Use of additions and click +.

Configure:

  • Select the Additional Type.
  • Choose whether the allowance applies to:
    • an organisational unit (including sub-units), or
    • a specific employee.
  • Enter the allowance rate.
  • Specify a Valid From date.
  • Optionally specify a Valid To date if the allowance is only valid for a limited period.

What happens next?

When all three steps have been completed, the Custom Allowance becomes available when employees register travel claims. If no Valid To date is specified, the allowance remains valid until it is replaced or an end date is entered.
