What is Write access for documents in Simployer One?
Write access lets a person or scope manage a document, folder, or link in Simployer One.
A user with Write access can:
- Change access rights
- Move or delete the document, folder, or link
- Set an expiration date
- Open and download the content
Important: Write access always includes Read access.
What is Read access for documents in Simployer One?
Read access lets a person or scope open and download a document or use a link. Read access does not allow the person to change permissions, move the content, delete it, or set an expiration date.
You cannot remove Read access while the same person or scope still has Write access. Remove Write access first, and then remove Read access.
Who can receive document access in Simployer One?
Documents in My documents and Profile folders can be shared with one or more of the following scopes:
- Roles
- Individual employees
- Departments
- Offices
- Employment types
Note: Company folder Read access is different. It applies to every employee and cannot be restricted to a smaller scope.
How do I change Write or Read access in Simployer One?
- Open the relevant document, folder, or link.
- Under Write access or Read access, select Inherited from parent folder.
- Add or remove the relevant roles, individual employees, departments, offices, or employment types.
- When removing access, remove Write access before Read access for the same person or scope.
- Select Save.
People with access to a shared folder can find it under Shared documents on their employee profile.
How does folder inheritance work for documents in Simployer One?
A new subfolder, document, or link receives the parent folder’s current Write and Read settings when you create or upload it inside that folder.
Folder inheritance in Simployer One is not continuously synchronized. If you later change the parent folder’s permissions, existing subfolders, documents, and links keep the permissions they already have.
Important: Review existing content separately after changing a parent folder. The new parent settings apply to new content, not automatically to content that already exists.
What happens to permissions when I move a document in Simployer One?
You can drag and drop a document into another folder. The document keeps its original Write and Read settings after the move and does not adopt the destination folder’s permissions.
Tip: Upload a document directly inside the correct folder when you want it to receive that folder’s current access settings. After moving a document, always review its access.
How do expiration dates work for documents in Simployer One?
An expiration date is a reminder for people who can access the document. It does not delete, archive, or hide the document.
- Select the three-dot menu to the right of the relevant document.
- Select Expiration date.
- Set the expiration date.
- Select Save.
When the expiration date is reached, Simployer One notifies everyone who has access to the document.
