How to upload documents to an employee Profile folder in Simployer One

Who can upload documents to an employee Profile folder in Simployer One? 


The Owner, Admin, the employee and the employee’s direct Manager can upload documents to the employee’s Profile folder in Simployer One. 


Important: Content in a Profile folder is connected to one employee. Use Company folders instead only when every employee in the company should have Read access.  


How do I upload a file to an employee Profile folder in Simployer One?

  1. Select Employees in the main menu. 
  2. Open the relevant employee profile. 
  3. Select the Profile folder tab. 
  4. Open the folder where the document should be stored. To create a new folder, select the folder icon with a plus sign. 
  5. Set the folder’s Write and Read access before uploading when the default access should be restricted. 
  6. Open the folder and select the plus sign. 
  7. Choose the file from your device and complete the upload. 
  8. Review the document’s Write and Read access to confirm that only the intended people and scopes can access it. 


Important: A document uploaded inside a folder receives the folder’s current access settings. Later changes to the parent folder do not update documents that are already inside it. 


How do I add a link to an employee Profile folder in Simployer One?


You can add a link to an external resource, such as SharePoint, Google Drive, or Notion, instead of uploading a file. 

  1. Select Employees in the main menu. 
  2. Open the relevant employee profile and select Profile folder. 
  3. Open the folder where the link should be stored. 
  4. Select the hyperlink icon. 
  5. Add the link details. 
  6. Select Save.
  7. Review the link’s Write and Read access. 


Links follow the same access and folder inheritance rules as uploaded documents. 


What access does a new Profile folder document have in Simployer One? 


By default, a document in an employee Profile folder grants Write and Read access to the Owner, Admin, Manager, and employee. 


Write access includes Read access. Remove Write access before trying to remove Read access from the same person or scope. 


Important: Do not assume the employee or Manager is excluded from a sensitive document. Profile folder access must be restricted manually when any default role should not have access. 


What happens after I upload a document to an employee Profile folder? 


The document appears in the selected Profile folder with the access settings it received at the time of upload. People with Read access can open and download the document. People with Write access can also change access, move or delete the document, and set an expiration date. 


Note: Dragging the document to another folder does not replace its existing permissions with the destination folder’s permissions. Review access after moving a document.
