Upload Company documents in Simployer One

Who can upload Company documents in Simployer One?


Only the Owner and Admin can upload files, create folders, or add links in Company documents in Simployer One. 


Every employee in the company receives Read access to Company folders. This access cannot be removed or limited to a smaller scope. 


Important: Use Company documents only for content that every employee should be able to read. 


How do I upload a file to Company documents in Simployer One?


  1. Select Documents in the main menu. 
  2. Open the Company folder where the file should be stored. To create a folder, select the folder icon with a plus sign. 
  3. Open the target folder and select the plus sign. 
  4. Choose the file from your device and complete the upload. 
  5. Confirm that the file appears in the selected Company folder. 


The uploaded file is available with Read access to every employee in the company. 


How do I add a link to Company documents in Simployer One?


Company documents can contain links to external resources, such as SharePoint, Google Drive, or Notion. 

  1. Select Documents in the main menu. 
  2. Open the Company folder where the link should be stored. 
  3. Select the hyperlink icon. 
  4. Add the link details. 
  5. Select Save. 


Every employee can see the link through Company documents or Shared documents.


Can I restrict a Company folder to a department or office in Simployer One?


No. Company folder Read access always applies to every employee in the company. You cannot restrict Company folders to a department, office, employment type, role, or individual employee. 


When a document should be hidden from any employee, store it in one of these locations instead: 

  • Profile folder: Use this for content connected to one employee. 
  • My documents: Use this for personal content or folders that should be shared with selected people or scopes.


How do I move or rename a Company document in Simployer One?


Drag and drop a document into another folder to move it. The document keeps its existing Write and Read settings after the move. 


To rename a file or folder, open the relevant action, enter the new name, and select Save. 


Note: Company document Read access remains company-wide. Moving the document does not make it private. 


How do I set an expiration date for a Company document in Simployer One?

  1. Select the three-dot menu to the right of the relevant document. 
  2. Select Expiration date. 
  3. Set the expiration date. 
  4. Select Save. 


The expiration date sends a notification to everyone who has access to the document. It does not delete the document.
