Import organisational data
Set up your organisation structure in Simployer One by importing departments, offices, and teams before your employees go live.
Overview
The organisation import template sets up the structural backbone of your Simployer One account — departments, offices, and teams. It must be completed and imported before or alongside the employee import, because employee data references these structures directly.
Like the employee import, you fill in the template and your PS consultant runs the import on your behalf.
Key things to know before you start
The organisation template has three separate tabs — Departments, Offices, and Teams — each is independent. Only fill in the tabs relevant to your company
Names must match exactly — any department, office, or team name you enter here must be spelled identically in the employee import template, including capitalisation
Departments support a hierarchy — you can define parent departments and sub-departments in a single tab
Teams require colours — background colour and text colour are mandatory for every team row
How to import organisation data
Step 1: Download the template
Go to https://simporter.simployer.com/
Download the file organization-import-template.xlsx
Note: Do not create your own spreadsheet or rename columns. The import will only accept the official template.
Step 2: Fill in the Departments tab
Open the Departments tab and add one row per department. If your company uses a department hierarchy, add parent departments before their sub-departments.
The only mandatory field is the department name. Everything else is optional.
Important: Every department name must be unique. If the same name appears twice, the import will fail for that row.
Step 3: Fill in the Offices tab
Open the Offices tab and add one row per office location, if your company uses offices.
Important: Office names must be unique and spelled identically to how you will reference them in the employee import template.
Step 4: Fill in the Teams tab
Open the Teams tab and add one row per cross-functional team, if your company uses teams.
Important: Background colour and text colour are mandatory for every team row. You must use the exact allowed values — see the column guide for the full list.
Step 5: Upload the completed file
Log in to Simployer One
Go to your profile page
Navigate to My documents
Upload the completed organisation import template
Step 6: Notify your PS consultant
Let your PS consultant know the file is uploaded. They will review it and run the import. If there are errors, they will contact you before proceeding.
Important: Complete the organisation import before finalising the employee import. Employee rows that reference a department, office, or team that does not exist in the system will fail to assign correctly.
FAQs
Do I need to fill in all three tabs?
No. Only fill in the tabs that are relevant to your company. If you do not use offices or teams, leave those tabs empty.
What if I only have one level of departments?
Leave the parent department column blank for all rows. Every department will sit at the top level.
Can I add departments, offices, or teams after the import?
Yes — all of these can be added and edited manually in Simployer One after the import. The template is for the initial bulk setup only.
What happens if a department name in the employee file doesn’t match what’s in the organisation file?
The employee will be imported but will not be assigned to a department. You will need to assign them manually in Simployer One afterwards.
