Who can access Equal Pay?
Before a user can work with Equal Pay, they must be granted the Equal Pay User permission.
Important: The Equal Pay User permission is separate from the standard Simployer One roles. Regardless of whether a user is an Owner, Administrator, Manager, or Employee, they must also be granted the Equal Pay User permission to access the Equal Pay module.
How do I grant access to Equal Pay?
- Navigate to **Settings → Equal Pay permissions**.
- Under **Manage users with access to application**, open the **User** dropdown.
- Search for or scroll to the relevant user.
- Select the user.
- Click **Grant access**.
- The user is added to the list of people who can access Equal Pay.
How do I open Equal Pay?
- Open **Compensation** from the main navigation menu.
- Select **Equal pay**.
- The **Equal Pay dashboard** opens.
What can I see on the Equal Pay dashboard?
The dashboard provides an overview of previous surveys and quick access to ongoing surveys.
Welcome to Equal Pay
The Welcome to Equal Pay information box introduces the feature and recommends watching the video tutorial before starting a survey. Select **X** to close the message.
Pay gap status
The Pay gap status graph shows results from previous surveys. Use the period dropdown, for example **Last 5 years**, to change the displayed period. The horizontal axis shows survey years, the vertical axis shows the pay gap percentage, and different colours represent the companies or organisational units included in the surveys.
Key numbers
The Key numbers section displays the average salary for Female, Male and Total together with the Gender pay gap percentage. Use the language dropdown to change the displayed language.
Ongoing surveys
From Ongoing surveys you can:
- Select **Start new survey** or the **+** button to create a survey.
- Open an existing survey by selecting its survey card.
- Select **View all** to display all ongoing surveys.
- Select **View archived surveys** to display archived surveys.
- Open the **three-dot menu (…)** on a survey card to access additional actions.
Each survey card displays information such as the survey name, company or organisational unit, and survey year.
Note: A single Equal Pay survey is limited to one country (Sweden or Norway), but it is not technically limited to one legal entity or organisational unit. When importing employees from Simployer One, all employees in the selected country are imported, and the import cannot currently be limited automatically by department or legal entity. If you need separate surveys for different legal employers or organisational units, create separate employee import files in Excel and import them manually. As a best practice, create a separate Equal Pay survey for each legal employer to support legal compliance and clearer documentation.
