How do I register time off for an employee in Simployer One? 


Owners, Administrators, and Managers can register time off on behalf of employees in Simployer One. This is useful when an employee is unable to submit their own leave request or when a manager needs to register leave for a member of their team. 


Note

Managers can only register time off for employees they manage. Owners and Administrators can register time off for all employees. 


How do I register time off from an employee profile? 


  1. Find the employee using Search or Employees. 
  2. Open the employee's profile. 
  3. Select the Time off tab. 
  4. Select Request time off from My overview, or open the Calendar tab and select the employee's leave start date. 
  5. Complete the leave request. 
  6. Select Send request.


The leave request follows your company's approval workflow. 


What information do I need to complete? 


The leave request form is the same whether an employee submits the request or it is created on the employee's behalf.

  • Send request

Additional fields may appear depending on the selected leave type and how the leave policy has been configured. 


Can I edit the request before sending it? 


Yes. You can edit the leave request before selecting Send request, provided editing is enabled in the leave policy settings. 


What happens after I send the request? 


  • The request follows the normal approval workflow. 
  • If the selected leave type does not require approval, the request is approved automatically. 
  • If approval is required, the assigned approver receives the request. 
  • The employee receives a notification when the leave request has been approved. 
  • The leave request appears in the employee's Leave activity and Calendar.


What validation messages can I see? 


Restricted dates

If the requested dates overlap a restricted date, Simployer One displays a warning. You can still send the request. 


Insufficient balance

If the leave policy has Strict allowance limit enabled, you cannot register more leave than the employee's available allowance. 


Overlapping leave

If the requested dates overlap another leave request, Simployer One displays a warning so you can review the dates before sending the request.
