How to Set Up Whistleblowing
What is Whistleblowing?
Whistleblowing gives employees — and, if a company chooses, external parties like candidates or providers — a way to report concerns safely, with the option to stay completely anonymous. It's becoming a legal requirement for more companies as whistleblowing laws expand, and Simployer One's version is available in every package.
The portal is intentionally hosted outside Simployer One's main application, separate from the regular menu bar. This is for privacy and security: it allows a truly anonymous, password-less reporting flow, and lets companies share the link with people who don't have a Simployer One account at all — job candidates, external contractors, board members, and so on.
Who's involved
- Owner / Admin — enables the feature, sets it up, and decides how the link is distributed.
- Case Handler — the person (internal or external, doesn't need a Simployer One account) who receives and manages reported cases.
- Reporter — anyone using the portal to file a report, with the option to remain fully anonymous.
Good to know
Simployer One currently supports only one Case Handler per company.
Owner & Admin Guide — Whistleblowing
You must have the Owner role in Simployer One to enable and edit Whistleblowing settings.
Step 1 — enable the feature
1 Go to Settings → Whistleblowing
Click the toggle to enable Whistleblowing for your company.
Step 2 — configure your portal
2 Set your Company token
This becomes part of your unique portal URL: whistle.alexishr.com/report/YOUR_COMPANY_TOKEN. Use something familiar and recognizable — your company name works well (e.g. "fjellbekk-as").
3 Set the Case handler email
This is the person who receives new case notifications, case updates, and can access all cases for handling. This field is uppercase-sensitive — we recommend entering it in lowercase only, since that's the most common way emails are set up. Simployer One currently supports only one case handler, who can be either an external person or a current employee with a Simployer One account.
4 Set Title and Description
These are shown on your public-facing portal page and are a way to communicate further instructions to reporters if needed.
5 Click “Enable whistleblowing settings”
Don't forget to save before leaving the page — nothing is applied until you do.
Good to know
Once enabled, your portal is publicly accessible at your unique URL. Anyone with the link can file a report or follow up on an existing one — no login or Simployer One account required.
Step 3 — distribute the url
Once your portal is set up, the next step is making sure the link — and the Case Handler / Reporter guides — are easy to find for everyone who might need them. It is the organization's responsibility to make sure employees and other required parties are well-informed and know how to access the portal.
For employees
- Company Documents — add the portal link and guides to Documents → Company documents.
- Employee Dashboard — post it as a Dashboard announcement.
- Handbooks — give it a clear section in your company handbook.
For external parties
Candidates, providers, board members, and other non-employees may also need access, depending on your local laws. Common places to share the link:
- Your website footer
- A dedicated sub-page on your website
- Your careers page
- Email signatures
Good to know
Typically, companies place the URL in some or all of: Company Documents, Handbooks, and the Employee Dashboard. You can use more than one distribution method at once — there's no requirement to pick just one.
Security & privacy notes
To keep reporting fully anonymous, the portal is hosted outside Simployer One's main application. There's no tracking, and sign-in / verification uses a password-less system — no information is stored about a user unless they choose to enter their own contact details.
The Case Handler is verified via a one-time link sent to their email, which is what allows someone without a Simployer One account to be assigned as Case Handler. This makes it essential that the case handler email in your settings is always correct and actively monitored.
