How to Use Whistleblowing - Reporter guide
What is Whistleblowing?
Whistleblowing gives employees — and, if a company chooses, external parties like candidates or providers — a way to report concerns safely, with the option to stay completely anonymous. It's becoming a legal requirement for more companies as whistleblowing laws expand, and Simployer One's version is available in every package.
The portal is intentionally hosted outside Simployer One's main application, separate from the regular menu bar. This is for privacy and security: it allows a truly anonymous, password-less reporting flow, and lets companies share the link with people who don't have a Simployer One account at all — job candidates, external contractors, board members, and so on.
Who's involved
- Owner / Admin — enables the feature, sets it up, and decides how the link is distributed.
- Case Handler — the person (internal or external, doesn't need a Simployer One account) who receives and manages reported cases.
- Reporter — anyone using the portal to file a report, with the option to remain fully anonymous.
Good to know
Simployer One currently supports only one Case Handler per company.
Reporter Guide — Whistleblowing
This guide covers how to file a whistleblowing report and follow up on it afterward. Your organization is responsible for setting its own rules and processes around reporting in line with local laws — if you're unsure where the portal link is, ask your HR or Employer.
Step 1 — file a report
1 Open your company's Whistleblowing URL
Your employer will have shared this link — check Company Documents, your Handbook, or the Employee Dashboard if you're not sure where to find it. Select “File a report.”
2 Fill in the Subject and Description
Try to summarize your report in a short subject line, then describe it in as much detail as possible — this makes it easier for the Case Handler to take appropriate action.
3 Choose whether to stay anonymous
Your name, email, and phone number are all optional. Leave them blank to stay fully anonymous. If you add an email so you can receive update notifications, keep in mind it will be visible to the Case Handler. If you don't want to leave any contact details at all, you can still follow up manually later using your access code.
4 Submit and save your access code
After selecting Submit, you'll be shown a unique access code. Copy and store it somewhere safe — it's the only way to follow up on your case later, and it cannot be recovered if lost. Your Case Handler is automatically notified by email that a new case has been reported.
Good to know
If you upload supporting files, be aware they may contain metadata (such as location) that could reveal your identity, even if you've chosen to stay anonymous otherwise.
Step 2 — follow up on a case
5 Open the Whistleblowing portal and select “Follow up on a case”
This is where you go back into an existing report using your access code.
6 Enter your access code and select “Go to report”
This takes you into your specific case.
7 Read and respond
Check for new messages from your Case Handler, and add further information, comments, or attachments to strengthen your report if needed.
8 Close or re-open your case as needed
You can close your own case once it's resolved, and re-open it again later if needed.
Good to know
You will only receive email notifications about updates to your case if you left an email address when submitting your report. Without one, you'll need to check back manually using your access code.
