How do I manage active workflows in Simployer One? 


Once a workflow has been started—either manually or automatically—it becomes an active workflow. Active workflows allow you to monitor progress, update tasks, and make adjustments while the workflow is in progress. 


The actions you can perform depend on your role in Simployer One. 


Before you begin 


  • Owners and Admins can manage all active workflows.  
  • Managers can manage workflows they are responsible for, typically workflows involving their direct reports.  
  • Navigate to Workflows.  



Who can manage active workflows? 


The available actions depend on your role.

Managers cannot archive or delete active workflows. 



How do I view active workflows? 


To view active workflows: 

  1. Navigate to Workflows.  
  2. Browse the list of active workflows.  
  3. Select a workflow to open its details.  


The workflow overview displays the current progress, categories, tasks, due dates, and task owners. 


What information can I see in an active workflow? 


Each active workflow provides an overview of its progress. 


Depending on the workflow, you can view: 

  • Workflow name  
  • Description  
  • Current status  
  • Categories  
  • Tasks  
  • Task owners  
  • Due dates  
  • Completed tasks  
  • Remaining tasks  


This information helps you track the progress of the workflow and identify any outstanding work. 


How do I edit an active workflow? 


If a workflow needs to be updated after it has started: 

  1. Open the workflow. 
  2. Click on "actions" up in the right corner. 
  3. Select Edit.  
  4. Make the required changes.  
  5. Save your changes.  


Owners and Admins can edit any active workflow. 


Managers can edit workflows they are responsible for. 


How do I change a task due date? 


Sometimes task deadlines need to be adjusted after a workflow has started. 


To update a due date: 

  1. Open the workflow.  
  2. Locate the task.  
  3. Edit the Due date.  
  4. Save the changes.  


The updated deadline is immediately applied to the workflow. 


Updating due dates allows you to adapt the workflow if schedules change. 


How do I skip a task? 


If a task is no longer required, it can be skipped. 


To skip a task: 

  1. Open the workflow.  
  2. Locate the task.  
  3. Select Skip task.  
  4. Confirm your choice.  


The workflow continues without requiring the skipped task to be completed. 


Note 

Skipping a task should only be used when the activity is no longer relevant or has been completed outside of the workflow. 


Can I pause an active workflow? 


No. 


Active workflows cannot be paused. 


If changes are required, you can:

  • Edit the workflow.
  • Change task due dates.  
  • Skip individual tasks.  


The workflow will continue running until it is completed, archived, or deleted. 


How do I archive a workflow? 


Owners and Admins can archive workflows that are no longer active but should be retained for future reference. 


To archive a workflow: 

  • Open the workflow.  
  • Select Archive.  
  • Confirm the action.  


Archived workflows remain available for historical reference but are removed from the list of active workflows. 


Managers cannot archive workflows. 


How do I delete a workflow? 


Owners and Admins can permanently remove workflows that are no longer needed. 


To delete a workflow: 

  1. Open the workflow.  
  2. Select Delete.  
  3. Confirm the deletion.  


Warning

Deleting a workflow permanently removes it from Simployer One. This action cannot be undone. 


Managers cannot delete workflows. 


How do I monitor workflow progress? 


The workflow overview provides real-time progress information. 


You can quickly see: 

  • Which tasks have been completed  
  • Which tasks are still outstanding  
  • Upcoming deadlines  
  • Responsible task owners
