How to use comments on workflow tasks in Simployer One

Comments let you add context, document decisions, and record actions directly on a workflow task. This keeps relevant information connected to the task and makes it easier for others with access to the workflow to understand what has happened.


Before you add a comment to a workflow task

To add a comment:

  • You must be assigned to the workflow task.
  • Go to Workflows and open the task assigned to you.

Only the person assigned to a task can add, edit, or delete comments on that task.

Other users who have access to the workflow, including managers, HR administrators, and system owners, can read the comments but cannot add or edit them.


Add a comment to a workflow task

  1. Open the workflow task assigned to you.
  2. Find the comments field on the task.
  3. Enter your comment.
  4. Save the comment.

Your comment is visible to anyone who has access to the workflow.

Edit or delete a comment on a workflow task

You can edit or delete comments that you have written.

  1. Find your comment on the workflow task.
  2. Select the three-dots menu on the comment.
  3. Select Edit or Delete.

You can edit or delete your comments at any time.


Who can see comments on workflow tasks?

Comments are not private.

Anyone with access to the workflow can read comments, including:

  • Managers
  • HR administrators
  • System owners
  • Other users with access to the workflow

Only the person assigned to the task can add, edit, or delete comments on that task.

Important

Avoid including sensitive personal information in comments, as comments are visible to everyone who has access to the workflow.


When to use comments on workflow tasks

Use comments to capture information that is relevant to completing or understanding a task.

For example, you can use comments to document:

  • Decisions made during a meeting
  • Actions completed outside Simployer One
  • Relevant information from an email or phone conversation
  • Context that may help someone understand what happened later


Comments are particularly useful in longer workflows where several people are involved at different stages. Keeping relevant context on the task makes it easier for someone reviewing the workflow later to understand what happened and why.
