Ways to request time off
You can submit a time off request (for example, vacation, sick leave, or parental leave) in Simployer One from three places:
- My Time off – Go to Manage time > My Time off and select Request time off.
- Calendar – Go to Manage time > My Time off, open the Calendar tab, and select the date you want your leave to start.
- Sia – Ask Sia to create the time off request for you, without opening the Time off page.
The information you're asked for depends on the leave type you select and how your company has configured its leave policies.
How do I request time off from the Time off page?
- Go to Manage time > My Time off.
- Select Request time off.
- Select the Type of leave.
- Review the Leave usage information, if displayed.
- Select the From and To dates.
- Complete any additional fields that appear.
- Add a Description or Comment, if needed.
- Review the assigned Approver(s).
- Review any visibility information, if displayed.
- Resolve any validation messages or warnings.
- Select Send request.
Your time off request is then submitted according to your company's approval workflow.
Note: Additional fields may appear depending on the selected leave type and how the leave policy has been configured.
How do I request time off from the Calendar?
- Go to Manage time > My Time off.
- Open the Calendar tab.
- Select the date you want your leave to start.
- Complete the time off request.
- Select Send request.
A time off request created from the Calendar follows the same approval process as a request created from My Time off.
How do I request time off using Sia?
You can ask Sia to create a time off request for you without opening the Time off page.
Example: "Apply for vacation from 5 July to 30 July."
Sia guides you through the request and creates the time off request in Simployer One on your behalf.
What does leave usage mean when requesting time off?
When you select a leave type on the time off request, Leave usage shows how much of that leave type you have already used during the current leave year:
- You are entitled to the configured number of days for the selected leave type.
- The section shows how many days you have already used.
- Your remaining balance updates automatically as leave requests are approved.
Note: The information displayed depends on the leave type you select.
What happens after I submit a time off request?
Once you select Send request:
- The request appears in Leave activity.
- The request shows as Pending or Approved, depending on your company's approval settings.
- The leave appears in the Calendar.
- If approval isn't required, the request is approved automatically.
- If approval is required, the approver receives a notification through the notification channels your company has configured, such as email, Slack, or Teams.
What validation messages might I see when requesting time off?
Simployer One can show the following messages while you're completing a time off request:
- Restricted dates: If your requested dates overlap a restricted date, Simployer One shows a warning. You can still submit the request.
- Insufficient balance: If your company's leave policy has Strict allowance limit enabled, you cannot request more leave than your available allowance.
- Overlapping leave: If your requested dates overlap with another leave request, Simployer One shows a warning so you can review the dates before sending the request.
