What Leave Attachments does

The Leave Attachments feature lets employees upload supporting documents directly to a leave request in Simployer One, such as a doctor's certificate for sick leave or official documentation for parental or caregiver leave. The attachment is stored securely and becomes part of the leave record, giving administrators and approvers better documentation handling for approval and compliance purposes.


Which leave types support attachments

Leave Attachments is available for all leave types except Self Certified Sick Leave.

It's particularly relevant for:

  • Sick leave requiring a doctor's certificate.
  • Parental or caregiver leave requiring official documentation.
  • Any leave type where evidence of absence is needed for approval or compliance.

The only accepted file format for attachments is PDF.


How do I attach a document to a leave request?

Before you start: attachments must be enabled for the leave type you're registering (see "Enabling attachments for a leave type" below), and the only accepted file format is PDF.

  1. Navigate to the Time Off module.
  2. Select the relevant leave type (for example, Sick Leave).
  3. Choose the dates for the leave period.
  4. In the leave registration dialogue, locate the Attachment field.
  5. Upload the required file (PDF format only).
  6. Submit the leave request.

Once submitted, you can view the attached document under the details of your leave request. The system confirms that the document has uploaded successfully.


Who can see an attachment

  • Employees: After submitting a leave request, the employee can view their attached document under the details of that leave request.
  • Managers and approvers: Approvers can open and review the attachment as part of the approval workflow, so decisions are made with access to the proper documentation, particularly for sick leave verification.


How Sick Leave Reports show attachments

Sick Leave Reports in Simployer One indicate whether a leave record has a document attached. This lets HR personnel and compliance officers:

  • Track which absences are supported by documentation.
  • Identify missing certificates where required by law or policy.


Data privacy and access

Leave attachments are handled in line with data protection regulations:

  • Documents are accessible only to relevant roles: the employee, their manager, and owner/HR.
  • Attachments are stored securely and linked exclusively to the relevant leave entry.


Enabling attachments for a leave type

Attachments are enabled under the leave type policy in Time Off settings.
