What happens when leave periods of the same leave type overlap?

Leave periods of the same leave type cannot overlap in Simployer One. For example, one vacation leave cannot overlap with another vacation leave.

Consecutive leave periods of the same type are allowed, as long as the date ranges do not actually overlap.


Note: Sick leave is an exception to this rule. See the next section.


Can sick leave overlap with other sick leave in Simployer One?

Yes. Unlike other leave types, sick leave is allowed to overlap with other sick leave periods. This supports common real-world scenarios, such as:

  • A doctor issuing a new sick leave with a different absence percentage (grade) than the existing one.
  • A sick leave being extended, starting from the current day.


How are sick leave and vacation handled when they overlap (outside Norway)?

This section describes the default overlap strategy that applies to all countries except Norway. For employees employed in Norway, a different strategy applies under the Holiday Act — see How are overlapping leaves handled for employees in Norway? below.

When sick leave and vacation overlap:

  • If the sick leave grade is 100%, the sick leave takes priority and overrides the vacation on the overlapping days.
  • If the sick leave grade is less than 100%, the vacation retains priority.


How are other overlapping leave type combinations handled (outside Norway)?

Outside Norway, leave types other than the sick leave/vacation combination above may coexist when they overlap. In these cases:

  • Each leave keeps its full number of minutes.
  • All leaves are counted toward used days and statistics.


How are overlapping leaves handled for employees in Norway?

Employees employed in Norway have overlapping leaves handled according to the Norwegian Holiday Act, rather than the default strategy described above. The primary purpose of this Norway-specific handling is to ensure vacation is treated correctly when it overlaps with sickness or other qualifying absences.


What is the postponement demand for vacation in Norway?

A postponement demand applies to vacation leave for employees employed in Norway. It allows an employee to:

  • Fully postpone planned vacation, or
  • Recover vacation days that overlapped with sickness.


Whether a postponement demand is valid depends on the following factors, in accordance with the Holiday Act:

  • The date the sickness occurred.
  • The absence percentage (grade) of the sick leave.
  • The date the postponement demand was submitted.


How are other overlapping leave types handled in Norway?

Aside from the vacation/sickness postponement handling above, other leave types may coexist when they overlap for employees in Norway:

  • Each leave keeps its full number of minutes.
  • All leaves are counted toward used days and statistics.


What is the Sick Leave Certificate Issue Date field?

Certificate Issue Date is an optional field available on sick leave records. It lets you record the actual date the medical certificate was issued, rather than relying only on the date the sick leave was registered in the system.

Using this field gives more accurate handling of overlaps and follow-up logic, since it reflects when the certificate was genuinely issued rather than when it was entered into Simployer One.


When does Simployer One automatically close a self-certified sick leave?

Simployer One can automatically close a self-certified sick leave when both of the following are true:

  1. An employee registers a self-certified sick leave without an end date.
  2. A medical sick leave is later received that starts within the allowed duration of that self-certified sick leave.

When both conditions are met, the self-certified sick leave is automatically closed at the point the medical sick leave is entered into the system.


When is a self-certified sick leave not closed automatically?

If the medical sick leave starts outside the allowed duration of the self-certified sick leave, automatic closure does not happen. In this case:

  • The self-certified sick leave is not closed automatically.
  • Manual handling is required to resolve the overlap.


How does Simployer One handle backdated medical sick leave?

Backdated medical sick leave is supported when both of the following apply:

  • A doctor issues a sick leave with a retrospective (backdated) start date.
  • The employee was on self-certified sick leave during that same period.

In this scenario:

  • The certificate receipt date is the decisive factor.
  • The self-certified sick leave takes priority over the medical sick leave for any overlapping days up to the certificate issue date.
