What are Access Rules for reviews?

Access Rules control who — besides the people participating in a review — can see or edit review details and the review cycle itself.

Everyone who participates in a review automatically has access to that review's details. You only need Access Rules to grant access to people who are not participants, such as an HR admin or a manager who needs oversight but isn't directly part of the review.


Note: You can't remove access for the participants of a review. Access Rules only affect non-participants.

Access can be granted at two levels:

  • Review cycle level – Access to all reviews within a cycle, including answers and notes, plus the ability to edit the cycle.
  • Individual review level – Access to a single review only, without giving access to the rest of the cycle.


How do I set access when creating a review cycle?

When you create a new review cycle, the cycle setup includes an Access Rules setting. Here you select which users should be able to:

  • See all reviews in the cycle, including answers and notes.
  • Edit the review cycle.

The person creating the review cycle is automatically added to this access list by default.


How do I edit, add, or remove access to a review cycle?

To change who has access to an existing review cycle:

  1. Go to Actions > Edit on the review cycle.
  2. Update the list of users with access to the cycle.


Note: Only a user who already has access to the cycle can make this change.


How do I set access to a specific review within a cycle?

If you want to give someone access to only one review, rather than the entire cycle, grant access at the individual review level instead of the cycle level.

To do this:

  1. Go to the details page of the specific review.
  2. Add, edit, or remove access for that review.


Note: This does not affect access to the rest of the cycle. The person will only be able to see or edit the individual review you've granted access to.
