SD Worx Personnel File from Simployer to SD Worx
Description
We offer a file-based integration to SD Worx. This means that employee and position data is exported into a file with fixed columns and column headers. The file is typically generated daily and uploaded to the SD Worx import area via a secure connection.
In addition to SD Worx creating the file area (FTP area), an import job must be configured within SD Worx to process the data.
Prerequisites
An employee cannot have more than one active position in Simployer/SD Worx for the data to be imported correctly into SD Worx.
Only the most recent active position will be updated with information from Simployer. There is not a one-to-one correspondence between positions in Simployer and SD Worx.
Existing positions must be exported so that future positions can be entered in Simployer.
If an employee has multiple active positions under the same employee number, these must be filtered out from the PersonPosition export.
Employees with multiple positions can be filtered and written to a separate area for manual processing.
Technical Description
The PersonPosition file contains new employees and changes to existing employees.
The file is transferred in CSV format and uploaded to SD Worx Cloud, where SD Worx creates the customer-specific area.
Fields Transferred
Leave entries include time details.
When an employee leaves work early due to illness, hours are calculated based on the rule that the workday runs from 07:00 to 15:00. For example, if the employee leaves at 11:15, 3.75 hours are transferred (assuming the workday ends at 15:00).
Start and end times can be specified but do not have to be between 07:00 and 15:00.
Leave starting and ending on the same day cannot exceed 7.5 hours; otherwise, the absence will appear on an error list. The error list is sent to an agreed email account.
Number of days — Actual days are provided with a comma as the decimal separator.
Absence percentage — Provided with a comma as the decimal separator.
Only whole days are transferred, from the start date to the end date of the absence.
Start and end times are in four-digit format (e.g., 0700).
Absence percentage, self-reported leave, and vacation are always 100.00%.
Partial-day leave includes the actual times (e.g., 1215).
Sick leave and vacation always have times set to 0000.
The file will be saved using ISO-8859-1 text encoding.
File format: CSV.
Frequency: Once per day.
Any work beyond the standard setup will be invoiced according to the time spent at the applicable hourly rate.
