Simployer One supports graded leaves, allowing employees to register partial absences by specifying a percentage. This feature applies to both Sick Leave and Parental Leave, enabling more flexible absence management and ensuring accurate handling of reduced work capacity or partial parental duties.
1. What Is Graded Leave?
Graded leave allows an employee to be partially absent from work while remaining active to a certain extent. Instead of recording a full-day absence, the employee specifies a leave percentage to indicate the degree of absence.
- 100% indicates a full absence
- 50% indicates a half-day or partial workload
- Decimals (e.g. 37.5%) are supported for precision
2. Applicable Leave Types
Graded leave is supported in the following leave types:
- Sick Leave
- Parental Leave
3. How Employees Register Graded Leave
When submitting a leave request:
- Go to the Time Off module.
- Select Sick Leave or Parental Leave.
- Choose the leave dates.
- Enter a leave percentage between 1 and 100.
- Add any other required information (attachments, notes).
- Submit the request for approval.
The system will then:
- Automatically calculate the reduced number of working hours
- Register the leave as a graded absence
4. Manager and Approver View
When a graded leave request is submitted:
- The percentage value is clearly shown to the manager/approver.
- Approvers can review the leave type, duration, grading, and any attachments before approving or rejecting the request.
5. Reporting and Integrations
Graded leave values are fully reflected in all reports and integrations:
- Absence reports include the grading percentage
- Payroll integrations receive adjusted working hours and grade percentage
- HR statistics and insights reflect partial usage based on the percentage
6. Enabling Graded Leave in Leave Policies
To activate graded leave for your organization:
- Navigate to Settings - Time Off Settings
- Select the relevant leave type and policy (e.g., Sick Leave or Parental Leave)
- Enable the option: "Allow grading"
- Save the policy
Once enabled, employees under this policy will be able to register leaves with partial percentages.
