Create Cost Carriers

To create cost carriers for use in the Travel and Expenses module, you must have the Cost Carrier Administrator role.

With this role, navigate to Administration → Accounting → Cost Carriers in the left-hand menu.


On the Cost Carriers page, click the pencil icon at the top of the page to open the administration view.

If cost carriers have already been created, they will be displayed on this page. If your organization uses multiple cost carrier types, you can switch between them using the Select type drop-down list.


When you first open the administration page, you will notice two cost carrier types created by Simployer. These are system-defined cost carrier types and are maintained by Simployer. They cannot be modified by customers.


Add a Cost Carrier Type

  1. Click + Add Cost Carrier Type.
  2. Enter a name for the new cost carrier type.
  3. Select the check boxes:
    • Is numerical
    • Active
  4. Click Save.

Add a Cost Carrier

After creating a cost carrier type, it will appear below the system-defined cost carrier types.

  1. Click the red arrow to the left of the cost carrier type to expand it.
  2. Click + Add Cost Carrier.


When creating a cost carrier, enter:


  • Number
  • Name

In the Belongs to field, select the organizational unit where the cost carrier should be available.

If the cost carrier should be available to all employees, select the top-level unit in your organization structure.

Select Active to make the cost carrier available for use.


If you need to create several cost carriers, you can also select Add another cost carrier to remain on the same page after saving.

Important: If the cost carrier should only be available to employees within a specific department or organizational unit, select that unit in the Belongs to field instead of the top-level unit.

This helps limit the number of available cost carriers shown to employees. If every cost carrier is assigned to the top-level unit, employees may see a long list of irrelevant options, making it more difficult to select the correct one.


Checklist

If you generate export files for your payroll system and want the cost carriers to be included in the export, please contact support@simployer.com. We will help you activate the cost carrier fields in your export configuration.
