To ensure expenses are exported with the correct payroll type to your payroll system, the payroll types you have created must be linked to the relevant expense types.
Navigate to Expense Types
Go to:
Administration → Travel & Expenses → Expense Types
From this page, you can:
Create new expense types
Edit existing expense types
Link payroll types to the expense types you use
Create a New Expense Type
Click the + button at the top of the page.
Enter a name for the expense type.
After creating it, the settings page opens where you can configure the expense type.
Link a Payroll Type
The settings page contains the fields used to assign payroll types.
Payroll type paid by the employee
This is the most commonly used setting.
Select the appropriate payroll type in the Payroll type paid by the employee field.
This payroll type is used when an employee submits an expense they have paid themselves and should be reimbursed for. When exporting payroll data, this is the payroll type that will be included in the export.
Payroll type paid by the employer
If your employees also need to register expenses that have already been paid by the employer (for example, using a company credit card), you can assign a payroll type in the Payroll type paid by the employer field.
Important: The payroll type must be configured in your payroll system so that it does not result in a payment to the employee. It should only be used for accounting or registration purposes.
Account Number and VAT Code
The Account Number and VAT Code fields are only used if your company has a custom export file for direct import into your accounting system.
Custom accounting exports are implemented as a consulting service provided by Simployer. During the implementation, you will receive guidance on how to configure these fields and connect them to your export setup.
Additional Settings
Expense types can be customized using the available check boxes.
Examples include:
Available in the Travel module – allows the expense type to be used when registering travel claims.
Available in the Expenses module – allows the expense type to be used for standalone expense claims.
Receipt must be uploaded – makes it mandatory to attach supporting documentation before the expense can be submitted.
These settings allow you to control where an expense type is available and help ensure that required documentation is always provided.
Save Your Changes
When you have finished configuring the expense type, click Save.
