How do I set up notifications for employments with an end date in Simployer One? 


Configure notifications on employment types so that Owners, Admins, and/or Managers are informed before or after an employee hire date or employment end date. You can create multiple notifications for each employment type. 


Before you begin 


  • You must have the Owner or Admin role. 
  • Notifications are configured per employment type. 
  • You can configure notifications for both default and custom employment types. 


How do I create a custom employment type?

  1. Go to Settings → Employment.

  2. Select New employment type.

  3. Enter a name for the employment type.

  4. Enable or disable Enable vacation, depending on whether the employment type should include vacation.

  5. Optionally, add one or more notifications in the notifications section.

  6. Select Save.

The new employment type is now available to assign to employees.


Note

Standard employment types are provided by default and cannot be edited or deleted. Only custom employment types can be changed or removed.


How do I add notifications when creating a custom employment type?

When creating a custom employment type, you can configure notifications directly in the creation form.


Select + Add notification to add a notification row. Each row contains the following fields:

TriggerEnd date / Hire date


To add another notification, select + Add notification again and repeat the process.

To remove a notification, select the trash icon on the right side of the row.


Note

Notifications can also be added or changed later by editing the employment type.


How do I edit a custom employment type?

  1. Go to Settings → Employment.

  2. Find the employment type under Custom employment types.

  3. Select the three-dot menu next to the employment type.

  4. Select Edit.

  5. Update the name, vacation setting, or notifications.

  6. Select Save.

How do I delete a custom employment type?

  1. Go to Settings → Employment.

  2. Find the employment type under Custom employment types.

  3. Select the three-dot menu next to the employment type.

  4. Select Delete.

Important: Reassign any employees currently using the employment type before deleting it.


Set up employment notifications 


  1. Go to Settings → Employment. 
  2. Find the relevant employment type under Custom employment types or Default employment types. 
  3. Click the three-dot menu next to the employment type and select Edit. 
  4. Under Notifications, choose who should receive the notification: All owners, All admins, or Manager. 
  5. Enter the number of days before or after the employment event. 
  6. Select Before or After. 
  7. Select the notification trigger: Hire date or End date. 
  8. To create another notification, click + Add notification and repeat the steps. 
  9. To delete a notification, click the trash icon beside it. 
  10. Click Save. 


Note

The notification content differs depending on whether the employment ends without a new employment or is immediately followed by another employment. 


What is an employment type? 


An employment type classifies an employee's work arrangement, for example based on work schedules, contracts, or employment status. Standard employment types cannot be edited, but you can create additional custom employment types. To change an employee's employment type, update the employee profile for individual changes or use the employee list for bulk updates.

Can I configure more than one notification?
