View and manage phases and tasks after a process has started.
When a process starts, you get an overview of its phases and tasks. The top row shows who the process applies to, the process owner, who created the process, general notes, and the control date.
A process usually has several phases, and each phase contains several tasks to complete. When you are assigned a process, review the tasks you are responsible for and familiarize yourself with them.
Who can see the tasks in a Simployer Classic process?
- The process owner normally sees all tasks, unless the process is configured so that everyone who performs a task can see all tasks
- In onboarding and offboarding processes, it is common for only the process owner to see all tasks
- In HSE processes, it is more common for everyone who performs tasks to see all tasks in the process
What do the columns in the Simployer Classic task list show?
- Task name – Select the task name to open the task and view a more detailed procedure description. You can also find any attachments and links here
- Deadline – The date by which the task must be completed. You receive a notification before the deadline. If the administrator has enabled deadline editing, you can change the date. Change the date to when you actually plan to complete the task so that the notification is more precise
- Performed by – Shows who is responsible for completing the task
- Notes – Add helpful notes or relevant information about the task. Notes acts as an internal communication channel between the process owner and the person performing the task, reducing the need for phone calls or messages outside the system
- Status – Shows the current status of the task
- Action button – The blue square with three white dots. From the Action button, you can change the person performing the task, complete the task, or set the task to not relevant
Add an extra task to an active Simployer Classic process
- Select the Action button in the upper-right corner of the process overview.
- Select Create task.
The new task is added to the active process.
Complete an active Simployer Classic process
- When all tasks in the process are complete, select the Action button in the upper-right corner of the process overview.
- Select Completed.
