How to create custom rates for travel and expenses

Modified on Wed, 7 Oct at 12:43 PM

Set custom rates that override the Norwegian government rates in Simployer Travel & Expenses.

Simployer Travel & Expenses uses Norwegian government rates (Statens satser) by default. The rates update automatically when new rates are published.

If your organization has its own travel or reimbursement agreements, you can create custom rates. Custom rates override the Norwegian government rates when Simployer Travel & Expenses calculates travel expense claims and expense reports.

Create a custom rate in Simployer Travel & Expenses

  1. Go to Administration → Travel & Expenses → Custom Rates.
  2. Select the + button at the top of the page.

Select the allowance type for a custom rate

When the registration window opens, select:

  • Allowance type, such as a subsistence allowance or mileage allowance
  • Allowance, such as a daily allowance or overnight allowance

Select who the custom rate applies to

The rate applies to everyone in a unit (and sub-units) is selected by default.

In the Unit field, select the part of the organization that the custom rate applies to.

For example:

  • If you select the top level of the organization structure, the custom rate applies to all employees
  • If you select a specific department, the custom rate applies only to employees in that department. All other employees continue to use the Norwegian government rates

If the custom rate applies to only one employee, select The rate applies to a particular person and search for the employee.

Enter the custom rate and validity period

  1. Enter the custom rate.
  2. Enter a Valid From date.
  3. Optional: Enter a Valid To date if the custom rate is valid for a limited period, such as one calendar year.

When the rate changes, create a new custom rate with a new Valid From date.

If you do not enter a Valid To date, the custom rate remains valid until it is replaced or an end date is added.
