How to report worked hours and/or absences as an employee
NOTE: Reporting time in Simployer One is optional and can only be set up by an Owner or Admin from your organization in Simployer One.
In this article we will cover how time reporting works in Simployer One but to learn more about how your organization want you to report worked hours or deviated hours, absences such as parental leave, sick leave etc., always refer to your HR or your Manager.
If your employer has activated this feature then you will receive a reminder and alert to your email whenever it's time to submit your time report.
Understanding your timesheet

First things first. Your timesheet is what you use to report either your worked hours and/or deviated hours (more about this later).
Below you can find a guide on how to understand a timesheet.
The period of the Timesheet. Here you can also change period and move between them.
Autofill missing entries. Will add worked hours to all missing entries. The system will automatically skip weekends and already reported dates.
The submit button. Use this to submit the timesheet for approval.
You can toggle non-working days on or off via this switch.
The Report absence button, where you can add time off requests.
The summary shows you what has been reported on what date, amount of hours reported and missing entries.
Here you add worked hours to a timesheet. The timesheet accepts multiple entries per date
Reporting worked hours (e.g as an Hourly Employee)
For employees with a salary based on the amount of worked hours, you might be asked to report these hours to your timesheet in Simployer One.
If this applies to you, then follow our guide below to learn how to report worked hours.
Head over to Manage time > Report time.
Start by going to the period you are supposed to report on. This can be done using the arrows the upper right of the timesheet.
From here you can do it in two different ways:
Option A: Use the button, Auto-fill missing entries, to mark you have worked all hours according to your work week the whole period with no deviations to be added or if they have already been automatically added (only applicable if you have used our Time off-feature). Holidays and non-working days will be automatically skipped.
Option B: Choose the relevant date and fill out how many hours you have worked and repeat until you have finished for the whole period. To remove or edit the reported time on a date, go to that date and click on the trash can symbol
Review your timesheet if you have finished reporting your worked hours and click on the Submit-button to hand it in to your Manager for approval. Your timesheet will now have a status at the top confirming your timesheet has been submitted.
NOTE: Submitted time reports can't be edited. In those instances, your Manager needs to first reject your time report which will allow you to correct it if needed before resubmission.
Reporting deviated hours or absence
If you have a monthly and fixed compensation, you might instead be asked to report your absences for each period. The concept is similar as reporting for worked hours but this time we will only report the deviated hours.
If you have used our Time off-feature properly, i.e. reporting and requesting beforehand upcoming leaves, then these leaves will already be logged in your timesheet.
Head over to the Manage time > Report time.
Start by going to the period you are supposed to report on. This can be done using the arrows the upper right of the timesheet.
Review the already reported absences currently logged to your timesheet. If they are not correct, remove it by clicking on it and then delete it.
To add missing absences, select the date and click "Report absence".
Choose the correct leave type, the duration of it and press "Send request".
Repeat until the whole period is completed and click "Submit".
NOTE: Submitted time reports can't be edited. In those instances, the person responsible for approving the timesheet needs to first reject your time report which will allow you to correct it if needed before resubmission.
After submission of timesheet
You will be notified once your time report has been approved or rejected. If it has been rejected you will receive a new notification about that as well as a note or comment.
