How to offboard an employee from Simployer One

Similar as we have to onboard a newly hired employee for them to have access to Simployer One, we also need to offboard them from the platform when they are no longer part of your organization.


Offboarding someone in Simployer One is very straight forward however keep in mind that it can only be done by an Owner. When you start the offboarding process, you can also choose to trigger an offboarding workflow with a list of to-do's, the same principle as for an onboarding workflow.


Our recommendation is also to start the offboarding process as soon as you know the employee's end date to avoid the risk of forgetting to revoke an employee's access to Simployer One . You can read more about offboarding and offboarding workflows here below.


Offboarding employees


  1. Head over to the employee's profile and update their employment information with their new end date as well as checking the box for "Terminated".
  2. Now go to the employee's Profile > Account.
  3. Scroll down for the Offboarding details. Fill out the relevant details connected to their offboarding, e.g. end date and the last day they should have access to Simployer One etc. Keep in mind that you can choose a date in the past if you want to as well.
  4. Optional: Select a workflow with a set of tasks connected to the offboarding of the employee. If not, click "Skip".
  5. Click on the next step, review the summary of the details and press Confirm when you are done.


What the fields mean

End date: Date when employment ends.

Offboarding date: The day the employee will no longer be able to access SImployer One and the profile will be archived. Owners and Admins can still access these profiles in People > Employees > Archived. If needed, these can always be unarchived.


Delete date: Optional - The date for deletion of account if don't want to keep their profile in Simployer One . Keep in mind this will affect the statistics and is a permanent action.


Anonymize date: Optional - The date Simployer will anonymize all personal data on employee's profile. This is also a permanent action.


Voluntary/Involuntary: If this termination should be considered Voluntary or Involuntary.

Comment: A comment or explanation on the termination


Once an employee is offboarded they can be found in People > Employees > Archived
