Visma.net Payroll

Troubleshooting

Person

  • When a new employee is created in Simployer and transferred to Visma, is the person saved as a draft, allowing for later changes?
Yes, when a new employee is created, they are set to "draft" status in Visma.net Employee, and the customer must activate the employee manually.

  • A new employee has been created in Simployer but is not being transferred. Are there mandatory data fields?
Yes, certain data fields must be registered in Simployer for the integration to process the transfer. Additionally, all positions must have an SSB code. The required fields are:
    • First name and last name
    • National ID number (Fødselsnummer) or D-number
    • Home address
    • Bank account number (not fully mandatory, but if missing, the employee will be set to contact payment only)
    • Employee number
    • Active position (or a future position starting within 10 days from today's date)

  • A new employee is starting in two months. We have registered the person, but they are not being transferred. Why?
New employees are transferred when there are 10 days or fewer remaining until the start date of the position.

  • A new employee was registered in Simployer a couple of weeks after their start date and has not been transferred to Visma.
In Simployer, you must first set a termination reason under "Sizes and Values" for the employee before setting the termination date and reason for the position. If the termination reason (endreason) is missing in "Sizes and Values," the integration will not recognize that the employee has left. Other possible reasons include:
    • The termination date is more than 10 days in the future
    • The termination date was entered more than 10 days after the employee left

  • Will the bank account number be transferred if an employee has a foreign account?
No, the integration only transfers Norwegian bank account numbers. Foreign bank accounts must be entered manually in Visma.net Employee.

  • We have employees that we do not want to transfer to Visma. Is this possible?
Yes, but you must configure a Size and Value in Simployer. The size must be "Exclude from Visma Payroll." If the value is set to "Yes" for an employee, they will not be transferred to Visma. If you are unsure how to configure this, please contact our support team for assistance.

  • An employee wants to change their first or last name, but the change does not transfer to Visma.net Employee.
If you are using Payslip in Visma.net, the employee has their own user account for logging in to Visma. In this case, the employee must change their name in both Simployer and Visma. If the name field has a red box around it, this indicates that the change must be made manually.

Absence

  • An approved leave request in Simployer needs to be changed (e.g., vacation on different dates). Why are the changes not transferred?
We do not transfer changes to already approved absences. Any modifications must be registered manually in Visma Calendar

  • The leave request was approved in Simployer after the employee had already been absent. Why was it not transferred?
The integration retrieves approved absences from the last 15 days on a daily basis. If the absence is approved more than 15 days after the start date, it will not be transferred. In such cases, the absence must be registered manually in Visma Calendar

  • Why hasn't an absence been transferred to Visma?
There may be several reasons for this. Common causes include:
    • The leave request is not approved or was approved more than 15 days after the start date.
    • The absence code is missing or does not match between the systems.
    • The employee applied for leave with specific time slots. If the requested times fall outside the scheduled working hours in Visma Calendar, the transfer will fail.
    • There is already a registered absence in Visma for the same day, or the employee's vacation balance in Visma is empty.

  • We have created a new absence type in Simployer/Visma. How do we ensure the absence is transferred?
Absence types must be created in both systems for the transfer to work. Check that the absence type has the same code in both systems. For example, vacation has the code FE in both Simployer and Visma.net Calendar.

Setup

Before setting up the integration

  • Can logic be configured in Simployer to determine the next employee number, or does this need to be done manually?
Yes, Simployer offers several options for automating employee numbers. It can either assign the next available number based on previous entries or follow a defined sequence. This setup can be configured per legal entity

  • If the customer has the compensation module, can salaries also be transferred to Visma?
No, salary data cannot be transferred.
