Simployer One supports automatic transfer of unused vacation days from one year to the next, aligned with Norwegian vacation legislation and practices. This guide explains how to correctly configure a vacation policy to enable carry over functionality, define transfer limits, and ensure the vacation balance is displayed in the expected Norwegian format.
1. Access the vacation policy settings
To begin setup:
- Navigate to the Setting
- Select Time Off Setting and go to Vacation.
- Create a new policy the Vacation leave type.
2. Enable the carry over functionality
In the vacation policy configuration:
- Locate the “Carry Over” toggle.
- Enable this setting to allow unused vacation days to be automatically transferred to the next calendar year.
When this setting is turned on, the system will automatically calculate and apply carry over based on the employee’s unused balance at vacation year-end.
3. Set a maximum Transfer Cap (Optional)
To limit the number of days that can be carried over:
- Enter a value in the Max days to transfer field:
- If left empty, all unused vacation days will be transferred.
- If set to 0, no days will be transferred.
- If a specific number is entered (e.g. 10), a maximum of that number of days will carry over.
This provides flexibility to comply with internal policies or legal guidelines.
4. Handling exceptions
If an employee has an individual exception to the general carry over rules:
- Navigate to the employee’s My Time Off page.
- Use the Balance Adjustments feature to manually add, reduce, or correct their vacation balance.
This ensures that edge cases or corrections can be handled without impacting the overall policy.
5. Norwegian balance display
When the Carry Over setting is enabled:
- The My Time Off page will display the Norwegian-style vacation balance.
- This includes:
- Earned vacation days
- Transferred days from the previous year
- Used and remaining balance in a structured, compliant format
This view helps employees easily understand their vacation rights in line with national expectations.
