Getting Started with Skills & Certificates
The Competence feature in Simployer One empowers you to identify, assess, and develop the key skills your organization needs — today and in the future.
Whether you’re an HR administrator, manager, or employee, this guide will help you make the most of the feature from day one.
Why We Built the Competence feature
Supporting employee growth and aligning skills with business needs are core HR priorities. With Competence, we aim to make it easy for you to track, assess, and develop skills and certificates, helping you build the right team for today and tomorrow.
Getting Started: Step-by-Step
For Admins & Owners
- Access the Competence Library
Go to: Simployer Competence Library - Create Competencies (skills or certificates)
- Click New competence to define a new skill or certificate.
- Add a name and description.
- Choose a requirement scope:
- Require for everyone, or
- Target specific teams, departments, or offices, or
- Add it without requiring it for anyone yet
- View company-wide overviews
- Skills: Go to the Employee Competence tab and filter by a specific skill to see who has it and at what proficiency level.
- Certificates: Go to the Employee Competence tab and filter by a specific Certificate to see who holders it and when it expired.
As an admin or owner, you also have access to all manager and employee-level features described below.
For Managers
- Track team skills and certificates
Open Competence to view your direct reports’ skills (with levels) and certificates (with expiry dates).
Filter with a specific Skill or Certificate to assess distribution across the team.
- Manage Individual Competencies
Go to Employee profile → Competence.
Add/update skills and assign proficiency levels.
Add/update certificates. You can upload a proof document and set an expiration date.
For Employees
- View and update your competence
a. Go to My profile → Competence.
b. See all your skills (with levels) and certificates (with expiry dates).
c. Upload proof documents for your certificates and set the expiration date.
d. When you renew a certificate, upload the new document in the same certificate section. The previous document remains available under Old certificates; the newest proof appears at the top.
Visibility: By default, your skills and certificates are only visible to you, your manager, and system admins/owners.
Notifications
Manager Notifications
When a required skill is assigned to one of your employees, you’ll receive an email prompting you to assess and assign a level.
When an employee uploads certificate proof, you’ll receive an email to verify it.
Employee Notifications
When your manager updates skill levels, you’ll receive an email.
When new certificate requirements are added to your profile, you’ll be notified so you can upload proof.
When a certificate is about to expire, you’ll receive reminders
3 months before the expiration date
2 weeks before the expiration date
1 day before the expiration date
The day after a certificate has expired (if not renewed)
