The Documents module includes several roles with different levels of access and administration. The role you assign should reflect the tasks the user needs to perform.
Below is an overview of the most common roles in the Documents module.
Document Administrator
This role provides full administration of the Documents module.
A user with the Document Administrator role can:
- Manage the Documents module settings.
- Manage document categories.
- Upload, manage and delete documents (depending on document permissions).
- View and open documents in all employee document folders.
Typical user
HR staff or system administrators responsible for document management.
Document Administrator (No Access)
This role allows administration of the Documents module without access to employee documents.
A user with the Document Administrator (No Access) role can:
- Manage the Documents module settings.
- Manage document categories.
- View document metadata, such as document name and category.
- Cannot open or download documents stored in employee document folders.
Typical user
IT or system administrators who need to manage the setup without access to personal documents.
Document Secretary
This role is intended for users who need to upload documents on behalf of employees without having general access to the Documents module.
A user with the Document Secretary role can:
- Upload documents for employees.
- Be granted access to one or more document categories.
- Does not automatically have access to other employee documents.
Important
To upload documents, the Document Secretary role must be assigned to the relevant document categories. This configuration must be completed by a Document Administrator.
Typical user
Secretaries, HR assistants or other administrative staff responsible for uploading employee documents.
