Simployer One has four standard roles: Owner, Administrator, Manager, and Colleague.
Standard roles provide the default access a person receives in Simployer One. Managers and Administrators can also have additional permission settings configured for their role.
To view the roles, go to Settings > Permissions.
What can an Owner do in Simployer One?
An Owner has full access in Simployer One and can view or edit everything that is editable in the system.
When you expand the Owner section under Settings > Permissions, you can see the employees who currently have the Owner role.
Owner role membership cannot be changed from this list.
What can an Administrator do in Simployer One?
An Administrator can perform most of the same tasks as an Owner, but the Administrator role has some restrictions.
Administrators cannot:
- View employee compensation
- Change permission roles
- Edit employees' account credentials, including email and password
- Create or run reports
Additional Administrator permissions can be configured under Settings > Permissions > Administrator.
Administrators can also have individual permission settings that differ from the company default.

What can a Manager do in Simployer One?
The Manager role is assigned to employees who manage one or more colleagues.
Managers have the general access available to Colleagues, together with additional permissions for the employees they manage.
Manager permissions can control access to areas such as:
- Candidate creation
- Moving candidates to New Hire
- Onboarding
- Signing processes
- The subordinate tree
- Compensation
- Competencies
You can configure company-default Manager permissions or set different permissions for an individual Manager.

What can a Colleague do in Simployer One?
A Colleague is a standard employee in Simployer One.
Colleagues can:
- Access the public company profile
- Access their own employee profile
- Edit their own information, except compensation and title
- Search for colleagues and view the information available to them
- View assigned Time Off
- View assigned Documents
- View assigned Checklists
Colleagues cannot access sensitive information about other employees unless they receive additional access through another role or permission configuration.
Under Settings > Permissions > Colleague, you can expand the role to see its members. For eligible selections, you can select employees and use Change role.
How do standard roles differ from custom roles?
Standard roles provide the built-in access model for Owners, Administrators, Managers, and Colleagues.
Custom roles provide additional flexibility when a person needs a specific combination of permissions or access to a particular group of employees.
For example, you can create a custom role that gives someone access to specific profile information only for employees in selected teams or departments.
