What roles and permissions are available in the Personnel and Employment module?

Learn what each role can access and how to give, remove, or transfer extended permissions.


What can a system administrator do in the Personnel and Employment module?

A system administrator has the highest level of access, with full control over all users and settings:

  • Can create new people
  • Can change information for all people they have access to
  • Can view and write notes on the person card
  • Can deactivate users and delete data through the privacy client
  • Can give permissions to other users


What can an HR administrator do in the Personnel and Employment module?

An HR administrator manages employees within specific parts of the organization:

  • Can create new people in the system
  • Can change personal and employment information for all employees within the organizational level where the role is assigned
  • Can view the person page with the same extended permissions as a system administrator


What can a manager do in the Personnel and Employment module?

The manager role is assigned to someone with personnel responsibility for a group of employees:

  • Can change personal information for their direct reports
  • Can view notes on their employees’ person cards
  • Is automatically notified when an employee’s position is about to expire. The default notification time is 14 days before the expiration date


What can an employee do in the Personnel and Employment module?

Employee is the basic role for anyone with a user account in the system:

  • Can view their own profile under About Me > My Info
  • Can change their own information, such as place of residence, next of kin, children, and nationality, if the fields have not been locked by an administrator
  • Cannot view notes that a manager or administrator has written on the person card
  • Cannot change their own employment information or organizational affiliation


What can an employment registrar do in the Personnel and Employment module?

An employment registrar can create an employment record and position.


What can a payroll administrator do in the Personnel and Employment module?

A payroll administrator can:

  • Create and process payroll runs under Process export
  • Download a signed employment contract
  • Receive a notification when an employment contract is signed
  • Receive a notification when the bank account number on a profile changes
  • View absence, travel, and expense information on the export page


How do you give, change, or remove roles in the Personnel and Employment module?

  1. Search for the person using the search field in the upper-right corner, then open the person’s profile.
  2. Select Settings from the menu at the top of the profile, then select Roles.
  3. Select + Add role.
  4. Search for the role in the Select role field.
  5. Select the level, then select Add and Save.
  6. To remove a role, select Remove next to the role on the employee’s profile.

After you add the role, the user receives the extended permissions associated with the role set.

How do you transfer roles in the Personnel and Employment module?

Transferring roles from one person to another is a manual process:

  1. Open the current person’s profile, select Settings > Roles from the top menu, and remove the roles.
  2. Open the new person’s profile, go to Settings > Roles, and add the required roles.

You must remove the role from the current person before adding it to the new person.
