Salary Adjustment – complete guide for administrators

Create, run, and complete a Salary Adjustment round, including budgeting, approvals, and export.


Why use the Salary Adjustment module?

  • Define the desired scenario and process using guidelines and predefined conditions
  • Allocate budgets and monitor results and approvals
  • Give HR a clear overview of the entire process
  • Give managers access to process information, guidelines, documents, and employee salary history

Start the Salary Adjustment process after salary negotiations have ended and the company knows the agreed budget. All payments are still processed in the payroll system, which remains the primary source of salary data. You can export the new salary data after completing the round.


Prepare for a Salary Adjustment round

  • Confirm the organizational structure. See the article about organizational structure
  • Check that every employee has a registered base salary
  • Consider creating a separate Salary Adjustment round for each collective agreement area if the company has more than one


Phase 1: Create a Salary Adjustment round

  1. Go to Salary Adjustment in the menu.
  2. Select Create Salary Adjustment.
  3. Enter a name for the round.
  4. Set the date from which the new salaries apply.
  5. Select the correct currency.


Phase 2: Select employees for the Salary Adjustment round

  1. Under Selection, choose which employees to include. You can include everyone in the company or select specific departments. You cannot include employees who do not have a registered base salary.
  2. Under Exceptions, exclude or include individual employees, such as new employees who should not participate.
  3. Use the organizational overview to check which departments and how many employees are included.
  4. Select Save selection at the bottom of the page. You can continue to the summary after saving the selection.


Phase 3: Set and allocate the Salary Adjustment budget

  1. In the overview, review the number of selected employees and the total salary value.
  2. Set the target budget as a percentage or fixed amount, and select Save.
  3. Select Allocate Budget to create an initial budget allocation proposal for the managers.
  4. Select an allocation method, and then select Execute.
  5. Add guidelines if you want them to be visible to the managers.
  6. Save the allocation by selecting Save Budget Distribution.


Phase 4: Add information and start the Salary Adjustment round

  1. Open Information to add text, deadlines in the timeline, and links to external documents.
  2. Start the round by selecting Summary/Start.

Simployer One automatically sends an email notification to all managers responsible for salaries who are included in the round. The email contains a direct link to the round.


Phases 5–6: Complete the manager and approver tasks

Phase 7: Complete the Salary Adjustment round

  1. Review how many managers have submitted proposals and how much the approver has approved.
  2. HR or the compensation administrator can complete each department as approved proposals are received.
  3. When all submitted proposals have been approved, select Finalize salary adjustment. To complete an individual department, select Finalize for that department.
  4. The new salaries become visible to employees when they sign in. The status changes to Completed.


What to do after completing the Salary Adjustment round

  1. Export the updated salary data using the export button in the overview.
  2. Inform employees that the Salary Adjustment round is complete and that their updated base salary is available in Simployer Portal under Compensation.
