Learn which responsibilities and habits help administrators keep the handbook useful and up to date.
Why is the administrator role important for handbook use?
When you are confident and capable in the administrator role and keep your organization’s content up to date, employees are more likely to use the handbooks.
If employees find the handbooks incomplete, it is often because internal content is not maintained continuously. This can have several causes:
- A change of administrator without knowledge transfer
- New editors
- Busy working days
- Unexpected events
How can you refresh your handbook administrator skills?
Administration mode in the handbooks is designed to be as user-friendly as possible. If you need to refresh your skills as an administrator, you can:
- Use the interactive help in the handbooks, which includes a training option for editors and administrators
- Attend training with a Simployer consultant, for example through Teams
- Ask Simployer to help refresh the handbooks
How can the handbook grow with your organization?
Many organizations change continuously, for example through reorganizations, acquisitions, or mergers into a new company.
You can add revised or new procedures, guidelines, and other content to the handbooks. You can also add new companies through access management in the handbooks.
Who is responsible for maintaining the handbooks?
- Assign a clear owner who is responsible for maintaining the handbooks. Where relevant, you can assign responsibility at chapter level.
- Set aside time for maintenance so your organization’s internal content remains up to date and easy for employees to find.
- Simployer recommends continuous maintenance. Quick fixes and ad hoc changes rarely provide good results.
- Include handbook updates in an annual cycle. You can use News to send reminders to yourself, create Task lists, or mark articles and folders as Favourites.
