To perform the actions described in this guide, you must have the System Administrator role in Simployer HRM. You can check which roles you have by navigating to:
Menu → About Me → Settings → Roles.
Roles in Simployer HRM
A role in Simployer HRM is an extended permission level. It grants additional rights and access beyond what is automatically assigned to a leader or an employee.
- Leaders automatically have access and permissions for their employees (those who are listed as reporting to them in Simployer).
- Employees have access and permissions for their own data.
- Roles are only needed if someone requires extra rights or access beyond these default settings.
Managing Roles as a System Administrator
As a System Administrator, you can:
- Assign, remove, and modify roles for yourself or others.
- Customize Simployer HRM settings under System Settings → Administration (see the document "Sizes, Values, and Administration" for details).
Important Notes on Administration
- Simployer requires at least one System Administrator per customer.
- This administrator must configure and maintain Simployer HRM for their organization, including creating, modifying, and deleting data as needed.
- Simployer AS does not modify or delete customer data, as outlined in our Data Processing Agreement.
Assigning a Role to a User
- Search for the person in Simployer HRM.
- Click Settings → Roles.
- Open the context menu (highlighted in a circle).
- Assign a role to the selected application.
- In the example below, "Testperson Test" has access to both the Simployer and Talent applications.
- Roles for Simployer Portal (Core) can be assigned directly in Simployer Portal.
- Roles for other applications must be assigned within the respective application, except for System Administrator, which can be assigned from Simployer Portal.
- Select "Role Overview" to continue.
Click "+ Add role"
You will then see the dropdown menu for roles:
- You can type in the field where it says "Select role" to search for a specific role.
- Alternatively, you can scroll down in the menu until you find the role you need.
EXPLANATION OF ROLES AND USE OF ROLES
This explanation applies to the Simployer application. For modules outside the Simployer application, rights must be granted according to the functionality of the specific application.
In the Simployer application, as shown and explained above, we can assign various roles to a person if the person needs extended rights.
It can be helpful to understand the following principles about how roles are structured:
- A module can have multiple roles to address different needs within the module.
- Some roles are "larger" than others, meaning they contain several other roles. For example, the System Administrator role includes the Personal Administrator role. In this case, it might be relevant to assign someone the Personal Administrator role if they need full access to personnel information for a particular area of the organization, without granting the System Administrator role, which also gives full administrative system rights and the ability to assign other roles to themselves or others.
- Some roles are used more frequently than others in Simployer HRM, and not all roles are necessary for everyone or for every user to be familiar with.

Please note that this document includes roles for all modules, and it’s likely that some of the roles described are not relevant to your module composition in Simployer HRM.
In the dropdown menu for roles on a person’s profile, you will only see the roles available according to your module composition.

THE "ROLES" REPORT
As a system administrator, you should always feel confident that the right people have the correct extended rights (roles) in Simployer. To help with this, we’ve created the Roles Report, which can be found under the menu Reports → My Organization.
As with all reports in Simployer, you must ensure that the correct basis is selected for your report. In the example, the top-level unit "Testfirma" with its associated subunits (checkbox) is selected as the report basis.
For the Roles Report, you can also choose to drag "role" over "person" to get an overview of all individuals who are System Administrators, Document Administrators, etc. The report will show you the "answer key" for which people have which roles, allowing you to correct and update as necessary based on the report.
Click on "View Report" to run the report.
