What needs to be done before i can start using Simployer?
When implementing Simployer, one of our skilled consultants will hold working meetings with you (and possibly your project team) to tailor Simployer HRM and go through the system's functionality. This ensures that you gain a solid understanding of the system’s structure and operation, enabling you to function effectively as the system administrator in your organization.
According to our Data Processing Agreement
(https://www.simployer.com/support/documentation/simployer-trust-center/other-useful-content/agreements/data-processing-agreement/data-processing-agreement-no/?r=1),
Simployer is the data processor, while you, as the customer, are the data controller. This means that you and your organization are responsible for updating and maintaining the data in Simployer HRM. Therefore, it is important that you understand how this is done and what best practices should be followed. Our implementation consultant will guide you through the use of the system and provide you with thorough information on this.
Before the first working meeting with the consultant can take place, basic personal and position information for all individuals currently working in your organization must be imported into Simployer HRM. The actual import will be carried out by the consultant, but the data must be provided by you as the customer. You will need to paste the data into a spreadsheet for personal information, which the consultant will use for the import. This spreadsheet will be sent to you by your consultant, and you can also download it using the link below.
It is common to extract the data for the spreadsheet from your payroll system, or alternatively from a time-tracking system. Regardless of the source, it is important to ensure that the data is accurate and of high quality so that what is imported into Simployer HRM is as correct as possible.
The spreadsheet includes various columns for personal and position-related information, and it is structured so that each row contains the data for one person, including the legal entity the person is employed by.
You should also have been contacted by our consultant and completed a kickoff meeting. In that meeting, you will have received basic and overall information about the delivery of Simployer HRM and the modules your organization has purchased.
In addition, you should have received access to Simployer HRM and an email with a link to set a password for your user account in the system. This will allow you to log in and upload the completed spreadsheet under About Me -> My Documents. By uploading the personal information spreadsheet to your documents in Simployer HRM, we avoid sending large amounts of personal data via email.
