How do I manage candidates in the Recruitment pipeline?
Review applications, move candidates through the recruitment process, manage candidate information, and communicate with candidates in Recruitment.
Before you begin
A job must be published and candidates must have applied before you can manage candidates in the Recruitment pipeline.

View the Recruitment pipeline
Navigation: Recruitment → Jobs
- Open the relevant job.
- The candidate pipeline opens as a Kanban board.
- Each candidate appears as a card in the current recruitment stage.
- Move candidates between stages by dragging and dropping their cards.
Important
Moving a candidate to another stage can trigger emails, interview invitations, notifications, or other actions depending on how the stage has been configured.
Note
If a stage is configured to send an email but no Outlook or Gmail account has been connected under My Integrations, the email is not sent automatically. A red Not sent label appears next to the candidate's name.
Add candidates manually
Add a candidate to a job
- Open the relevant job.
- Click the + button.
- Select Add candidate.
- Enter the candidate's information.
- Upload the candidate's CV if available.
- Click Save.
Import candidates
- Open Recruitment → Candidates.
- Select Import Candidates.
- Add one candidate or upload multiple candidates in a .zip file.
Add a CV later
- Open Recruitment → Candidates.
- Open the candidate profile.
- Select CV Actions → Add CV.
- Upload the CV.
Manage candidate information
Open a candidate profile to review and update information such as:
- Contact details
- Application
- CV
- Uploaded documents
- Portfolio URL
Candidates can also add a portfolio URL during the application process. You can edit or add the Portfolio URL later from the candidate profile.
Add notes and feedback
Use the thumbs up or thumbs down icons to leave quick feedback. The feedback is recorded together with the name of the user who submitted it.
To add a detailed note:
- Open the candidate profile.
- Enter the note.
- Select Make private if required.
- Click Save.
If Make private is selected, the note is visible only to:
- The author of the note
- The Job Owner
- Admins
Move candidates through the Recruitment pipeline
Move candidates between stages by dragging and dropping their cards on the Kanban board.
Depending on the stage configuration, moving a candidate may:
- Send candidate emails
- Send interview invitations
- Trigger interview automation
- Notify the Job Owner or Hiring Manager
Tip
If interview automation has not been configured, the recruitment process continues manually and any configured stage emails that cannot be sent display the red Not sent label.
What should you do next?
When you have selected the successful candidate, continue with hiring the candidate into Simployer One.

Can I add candidates manually?
Yes. You can add candidates directly to a job or import them into the candidate database.
Can I upload a CV later?
Yes. Open the candidate profile and use CV Actions → Add CV.
Who can see private notes?
Only the author, the Job Owner, and Admins.
