How to create, edit, and deactivate a department in the organizational structure

Learn how to create and maintain departments in the organizational structure.

You can manage the organizational structure under My Company > Organization in the left menu.


How to create a department in the organizational structure

  1. Select the department that will be the parent of the new department. The settings for the parent department open.
  2. Select the action button (+) at the top of the page, then select Create department.
  3. Select a Type:
    • Group: Top level, no employments
    • Legal entity: Used for employments and requires an organization number and business number
    • Internal department
  4. In the Belongs to field, select where the new department belongs in the organizational structure.
  5. Enter the required information:
    • Department name
    • Department number, if needed
    • For a Legal entity: Organization number and business number. If you have multiple business numbers, add them to other departments under the correct legal entity in the organizational structure.
    • NACE code, if applicable
  6. Search for the person who will be the department's Manager. The person is automatically registered as both the immediate manager and the manager with personnel responsibility for employees linked to the department.


How to edit a department in the organizational structure

Update the organizational structure when department information changes:

  1. Select the pencil icon next to Unit overview.
  2. Scroll to the field you want to update and enter the new value.
  3. To register a new manager, remove the current manager and search for the new manager.
  4. Save the changes.


How to deactivate a department in the organizational structure

You can deactivate a department that should not be active. We recommend removing the business number and manager before deactivating the department.

  1. Select the pencil icon next to Unit overview, then remove the manager and business number.
  2. Save and close the window.
  3. Select the action button, then select Deactivate unit.


Important

You cannot deactivate a unit if employees belong to the unit or have an active position linked to the unit.
