Register vacation for multiple employees at once

Use mass registration to register the same vacation period for multiple employees in Simployer One.

Who can use mass registration of vacation in Simployer One?

To register vacation for multiple employees at once in Simployer One, you must have the Vacation administrator role. Without this role, you cannot access the Mass registration page.

Use mass registration when your company has a common vacation period, for example, when the company closes for a specific period and you want to register the same vacation dates for all or most employees in one operation.

Note

You can only register vacation for employees who do not already have a vacation request or approved vacation during the selected period. Employees who already have a request or approved vacation during the period cannot be selected.

When you register vacation using mass registration, the vacation immediately receives the status Approved. There is no separate approval step.

How do I register vacation for multiple employees at once in Simployer One?

1. Go to Vacation → Mass registration.
2. In the From date field, enter the start date of the vacation period.
3. In the To date field, enter the end date of the vacation period.
4. Optional: Enter a comment in the Comment field. The comment is added to each vacation entry created in this operation.
5. Use the Unit dropdown menu and the filter field to find the employees for whom you want to register vacation.
6. Select the checkbox next to each employee you want to include. To select all displayed employees, select the checkbox in the table header.
7. Select Register vacation.
8. In the Confirm registration dialog, review the number of vacation cases you are about to create. Select Yes to confirm or No to cancel.

After you confirm, the list is updated. Each employee for whom you registered vacation now has the vacation period in the Registered vacation column and the status Approved in the Status column.

Employees who now have vacation registered for the selected period can no longer be selected for another mass registration that covers the same period.
