Give employees access: personal user account or reader link

Modified on Mon, 12 Oct at 10:20 AM

Learn the differences between personal user accounts and reader links, and choose the right access method for your organization.

A personal user account provides traceability, read confirmation, and individual permissions, but you must create one account per employee.

A reader link is easier to distribute and does not require an account. However, it does not provide individual tracking or support read confirmation. The reader link works in all browsers on computers, tablets, and mobile devices. No app or account is required.

Create and share a reader link

  1. Go to Administration in the top menu, then select Users > Reader access.
  2. Select Create on the right.
  3. Enter the required information in the window that opens.
  4. Give the reader link a descriptive name, such as “All employees - English.”
  5. If your organization has multiple handbooks, select the other handbooks that the reader link should provide access to.
  6. Select Send link by email.
  7. Select Save.

You will receive an email containing the reader link. You can then distribute the reader link to employees, for example through your intranet or another channel used by your organization.

If the reader link provides access to multiple handbooks, employees first arrive at the handbook where you created the reader link. They can navigate to the other handbooks from there.

To see which handbooks a reader link provides access to, select the name of the reader link.

Create a reader link to a specific article

  1. Open the article in reading view.
  2. Select the circle with three dots.
  3. Select Link with reader access.
  4. Copy and share the link.

The recipient is taken directly to the article where you created the reader link.

Important

A reader link to a specific article also provides access to the rest of the handbook. The recipient can navigate through the handbook and read all available content.

Create a personal user account

  1. Go to Administration and select Active users.
  2. Select Create on the right, then select New user.
  3. Enter the employee’s information in the window that opens.
  4. Select Send link by email.

The employee receives an email and can create a password for the assigned username.

Check that you are signed in with the correct account

Select the square in the upper-left corner of the handbook to see the name associated with the signed-in account.

If your name is not displayed, you may be signed in through a reader link. Sign out, then sign in again with your personal user account.
