This guide outlines the steps to set up Self-Certified Sick Leave (commonly known in Norway as Egenmelding) in Simployer One. The configuration is done via the Time Off settings and uses a pre-configured leave type designed specifically for this purpose.
Configure the Self-Certified Sick Leave
Set the following properties for the self-certified sick leave:
- Name: Provide a descriptive name (e.g., "Self-Certified Sick Leave Norway", "Egenmelding").
- Policy Description: Optional, but recommended for clarity.
- Minimum Time to Request: Set to Default (Day).
- Choose the following options should be enabled:
- Company Visible – Everyone in the company will see registered leaves of this leave type
- Requires Approval – Requires that someone approves the leave before it is confirmed. Typically the manager of the employee
Approval
- Set the Approver to Manager or a designated role.
- Additional approvers can be added using the + Add Approver link.
Set leave allowance
Configure the allowance settings as you want:
- Period Length in Months – the number of running months the allowance counts for.
- Max Number of Days Per Leave Request – how many days the employee can request per leave
- Max Number of Requests Per Period – max number of leave periods the employee is allowed in the period set.
Optional: Strict allowance limit
Enable Strict Allowance Limit if employees should not be allowed to exceed their self-certified sick leave allowance. When enabled, the system will block requests that would surpass the policy limits.
Assign the policy to employees
After configuring the policy:
- Assign the Self-Certified Sick Leave policy to relevant employees or groups.
- Employees included in the policy will now be able to request self-certified leave within the defined constraints.
Using the policy: What employees and managers see
For Employees
- The leave type will be visible when creating a new leave request.
- The remaining allowance will be clearly displayed during the request process.
- A self-certified leave can be created with an open end-date. An in-app notification will remind the user to add an end date, 1 day after the start date.
For Managers / Approvers
If Requires Approval is enabled, approvers can:
- View the allowance used and remaining at the time of the request.
- Approve or reject the request based on policy and company guidelines.
Monitoring Allowance Usage
Current usage statistics for self-certified sick leave can be viewed under:
Employee Profile → Time Off → Statistics
This provides a detailed breakdown of used and remaining days per employee.
