Who can approve or reject time reports in Simployer One?
To approve or reject time reports in Simployer One, you must be assigned as an Approver in the time reporting configuration for the relevant employee or team.
Important
The Approver assignment is configurable. An employee’s line manager is not automatically the approver. Confirm the configured approver before assuming the manager can review the employee’s time reports.
How do I know when a time report is ready for review?
Simployer One sends the configured approver an email when an employee submits a time report. The approver also receives reminder emails before the review deadline.
How do I open submitted time reports in Simployer One?
- Open Manage time.
- Select Report time overview.
The Report time overview screen can show:
- Time reports that are ready for review
- Employees who are currently clocked in, when clock-in is enabled
- The total balance of employee time banks, when time banks are enabled
The screen contains these tabs:
- Submitted timesheets: Shows all time reports, including pending, submitted, approved, and rejected reports. Use the status filter to narrow the list.
- Employees time banks: Shows employee time bank information when time banks are enabled.
How do I review a submitted time report before deciding?
- Go to Manage time > Report time overview.
- Open the Submitted timesheets tab.
- Find the time report. Use the status filter when needed.
- Select the three-dot menu next to the time report.
- Select See timesheet.
- Review the hours and entries submitted by the employee.
Important
You cannot edit an employee’s hours from the review screen. Reject the time report when the employee must correct an entry.
How do I approve a single time report in Simployer One?
- Go to Manage time > Report time overview > Submitted timesheets.
- Find the submitted time report.
- Select the three-dot menu next to the time report.
- Select Approve.
Simployer One changes the time report status to approved and sends the employee a confirmation email.
How do I reject a single time report in Simployer One?
- Go to Manage time > Report time overview > Submitted timesheets.
- Find the submitted time report.
- Select the three-dot menu next to the time report.
- Select Reject.
Simployer One changes the time report status to rejected. The employee receives an email that identifies the rejected reporting period and links directly to the time report overview for that period.
How do I approve or reject multiple time reports at once?
- Go to Manage time > Report time overview > Submitted timesheets.
- Select the checkboxes next to the time reports you want to process.
- Open the bulk-action dropdown.
- Select Approve or Reject.
Simployer One applies the selected action to all chosen time reports.
How do I approve or reject a time report from the Action Hub?
Submitted time reports that are waiting for review also appear as tasks in the Action Hub on the Simployer One dashboard. The Action Hub is a second entry point to the same approval process used in Manage time.
- Open the Simployer One dashboard.
- Find the submitted time report task in the Action Hub.
- Choose one of these actions:
- Approve: Approves the time report directly without opening the submitted hours
- More details: Opens the time report so you can review the submitted hours before approving or rejecting it
- Reject: Rejects the time report and lets you add a comment explaining why
Important
Direct approval from the Action Hub does not require you to view the submitted hours first. Use More details when you need to review the entries before deciding.
What does the employee see after approval or rejection?
- Approved time report: The employee receives a confirmation email.
- Rejected time report: The employee receives an email that states the time report was rejected, identifies the reporting period, and includes a link to the time report overview for that period.
- Rejection comment: When the approver adds a comment, the employee sees it as a small popup notification on the comment button.
How do I view an employee’s time bank in Simployer One?
1. Go to Manage time > Report time overview.
2. Open the Employees time banks tab.
3. Select an employee.
Simployer One opens the employee’s full time bank detail.
Note
The Employees time banks tab is available only when time banks are enabled.
