Learn what each status means as a travel expense claim or expense report moves through the approval process.
Travel expense claims and expense reports move through different statuses from creation until they are ready for reimbursement. The status shows where a travel expense claim or expense report is in the approval process.
There are four possible statuses.
What does Started mean for travel and expenses?
Started means that the travel expense claim or expense report has been created but has not been submitted for approval.
Only the employee who created the travel expense claim or expense report can edit it at this stage.
What does For approval mean for travel and expenses?
For approval means that the travel expense claim or expense report has been submitted and is waiting for approval from the employee's assigned approver, typically their manager.
What does Approval review mean for travel and expenses?
Approval review means that the travel expense claim or expense report has been approved by the manager and is waiting for approval from a user with the Approval reviewer role.
The Approval review status is available only when Approval review is enabled in the system settings.
What does Approved mean for travel and expenses?
Approved means that the travel expense claim or expense report has been fully approved and is ready for reimbursement or export to payroll.
How do you enable the optional approval step for travel and expenses?
Not all customers use Approval review. If your organization wants an additional approval step before travel expense claims and expense reports are approved, you can enable Approval review under System settings → Travel and expenses and assign users the Approval reviewer role.
